Office Manager
Our client, a well-established financial services organization is seeking an experienced and highly organized Office Manager to oversee and support the day-to-day administrative operations of multiple affiliated companies under the same umbrella. This individual will serve as a key operational leader, ensuring efficiency, consistency, professionalism, and seamless coordination across all offices. The ideal candidate will have prior experience within the financial services industry or a similarly fast-paced, highly regulated professional environment. This role requires exceptional organizational skills, strong communication abilities, and the ability to proactively manage competing priorities while maintaining a high level of professionalism and confidentiality.
Key Responsibilities
- Oversee daily administrative operations amongst multiple companies
- Ensure consistency in office procedures, workflows, and operational standards
- Manage office supplies, vendor relationships, equipment maintenance, and facility needs
- Coordinate administrative support functions including scheduling, document management, and office communications
- Support leadership teams with operational and administrative initiatives
- Assist with budgeting, invoice processing, expense tracking, and vendor coordination
- Partner with HR and leadership on onboarding logistics, employee support, and office policies
- Coordinate meetings, events, travel arrangements, and internal communications
- Maintain organized records and ensure compliance with company procedures and industry standards
- Troubleshoot operational issues and implement process improvements to increase efficiency
- Act as a point of contact across offices to ensure strong communication and collaboration
- Support special projects and additional operational initiatives as needed
Qualifications
- 5+ years of Office Management or Operations experience
- Prior experience within financial services, wealth management, banking, insurance, accounting, legal, or another professional services environment strongly preferred
- Proven ability to manage multiple priorities and office functions simultaneously
- Strong organizational, problem-solving, and multitasking skills
- Excellent verbal and written communication skills
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office Suite and office management systems
- Experience handling confidential information in a professional environment
- Ability to work independently while collaborating effectively with leadership and staff
- Ability to work onsite at the Maple Shade, NJ location
Preferred Qualifications
- Experience supporting executive leadership teams
- Background in operational process improvement or office workflow optimization
- Familiarity with compliance-sensitive or highly regulated industries
