Position : Senior Coordinator, Gift Planning and Donor Services

Position Elements:

Administrative Support

• Provide day-to-day administrative support for the GPO, including scheduling meetings, managing phone coverage, preparing correspondence and visit packets, creating advanced PowerPoint presentations, maintaining files, and administering the budget.

• Anticipate GPO needs by understanding the program’s key success drivers and monitoring upcoming schedules and events.

Stewardship and Events

• Plan and execute prospecting and stewardship events of varying size and scope—including pre- and post-concert receptions, private receptions, lectures, and legacy planning presentations—to advance gift planning efforts. Support the Special Events team with large-scale events, including the Clark Society Luncheon.

• Administer the LA Phil’s legacy society, the William Andrews Clark Society, by promptly processing new memberships, inviting members to events, and coordinating mailings.

• Draft and develop various documents, letters, memos, and reports relating to stewardship, internal and external requests, and information analysis.
  
  

• Coordinate stewardship and recognition for gift planning donors, including donor listings and giving levels.

Marketing

• Oversee GPO marketing strategy, production, distribution, and data management throughout the calendar year. Coordinate newsletters, postcards, brochures, website updates, and other gift planning materials; serve as the primary liaison with internal staff and external marketing and communications vendors; document campaigns and responses in Tessitura; and periodically refine processes for efficiency.

Data, Systems, and Reporting

• Maintain accurate gift planning information in Tessitura by entering and updating donor, prospect, proposal, and visit data; researching biographical information and donor interests; preparing visit packets; tracking trip changes and visit reports; creating and troubleshooting custom reports; and monitoring proposals for timely updates and follow-up.

• Analyze and communicate legacy giving performance through portfolio, pipeline, contact activity, and campaign reports, presenting key fundraising data to GPO staff, LA Phil Development staff, and Board members.
  
  

• Analyze and segment donor data to support targeted gift planning and legacy giving initiatives.
  
  
  Donor Services
  
  

• Support gift officers across the Philanthropy team with donor ticketing requests, liaising with donor associates to coordinate ticket reservations, upgrades, exchanges, and subscription packages
  
  

• Coordinate timely and accurate fulfillment of donor benefits, including ticketing privileges, event access, valet parking, recognition, and other benefits associated with giving levels.
  
  

• Maintain accurate records of donor ticketing requests and benefit fulfillment, flagging outstanding items and communicating updates to gift officers.
  
  

• Serve as a responsive point of contact for donor ticketing and benefit inquiries, partnering with gift officers and internal departments to resolve issues and provide a seamless donor experience.
  
  

• Assists with other fundraising projects and duties as assigned.

Job Requirements:

• Bachelor’s degree with at least 2 years’ experience in planned giving, fundraising, donor relations, trust administration, marketing, data management, or a legal environment.

• Strong interpersonal and relationship building skills; with demonstrated success in professional environments, with the ability to relate well and inspire confidence among others.

• Must be highly disciplined, a proven team player, and a self-starter, who can work with minimal supervision. Must be able to set priorities and work independently with frequent interruptions, while balancing multiple requests.

• Extremely detail oriented with excellent written and verbal communication skills, with outstanding proofreading skills required.

• Data-driven and technically proficient with advanced proficiency with Microsoft Word, PowerPoint, Excel and PG Calc.

• Knowledge of donor databases and familiarity with Tessitura a plus.

• Ability to use discretion and independent judgment to derive useful information in communication with donors and their families on sensitive issues and in relation to confidential information.

• Must possess strong customer service orientation and skills, demonstrating a professional and friendly demeanor and ability to anticipate and provide helpful service to internal and external customers.

• Be willing and able to work some nights and weekends.
