Purchasing Coordinator

The Purchasing Coordinator manages the ordering, tracking, receiving, and delivery of design selections and materials for HammerSmith residential remodeling projects. This position works closely with our designers, project managers, vendors, and office team to ensure materials are ordered accurately, arrive on time, and are ready for installation. Position Overview The Purchasing Coordinator manages the ordering, tracking, receiving, and delivery of design selections and materials for HammerSmith residential remodeling projects. This position works closely with our designers, project managers, vendors, and office team to ensure materials are ordered accurately, arrive on time, and are ready for installation. Key Responsibilities Ordering: Create and publish selections in Buildertrend for client approval and place orders based on approved design packages. Vendor Communication: Communicate with suppliers and manufacturers regarding pricing, lead times, availability, and shipping. Tracking & Logistics: Monitor orders and delivery schedules and keep the HammerSmith team informed of delays or issues. Quality Control: Inspect deliveries for damage, missing items, incorrect quantities, or incorrect products. Label materials with the project name and room/location. Returns & Credits: Coordinate returns, replacements, and damaged goods and follow through until refunds or credits are received. Financial Tracking: Send receipts and purchase documentation to the Office Manager within 24 hours, including the appropriate project and cost code. Project Coordination: Maintain organized purchasing records and communicate clearly with designers, project managers, project coordinators, and vendors. Problem Solving: Identify discrepancies or potential issues early and bring questions back to the appropriate HammerSmith team member rather than making design decisions independently. Required Skills Extremely organized and detail‑oriented Strong proofreading and record‑keeping skills Excellent communication and follow‑through Proficiency with Excel Experience with Buildertrend, Build.com, or similar platforms preferred Experience in residential construction, remodeling, interior design, purchasing, or procurement preferred Ability to manage multiple projects, orders, and deadlines simultaneously Position Structure Hours may vary based on active project needs, with the opportunity to evaluate the role and workload as the purchasing function develops. #J-18808-Ljbffr
