Summary/Objective:

The Accounts Payable Analyst I is an entry-level role responsible for supporting foundational accounts payable processes. Core responsibilities include batching and coding invoices, performing 3-way match validations, and uploading supporting documentation into the imaging system. This role ensures timely and compliant invoice handling by following established procedures and internal controls. The Analyst I also assists in reconciling vendor statements and supports basic audit documentation requests. Tasks are primarily transactional and system-driven, with more complex issues escalated to senior team members. This position plays a key role in maintaining workflow consistency and supporting the broader procure-to-pay cycle.

Duties and Responsibilities:

1. Perform single system processing of AP invoices.
2. Accurately batch and code invoices, including plant and freight invoices.
3. Execute 3-way matching for purchase orders, packing slips, and invoices.
4. Assist in resolving discrepancies and escalating issues to IT with documentation.
5. Maintain document control and send documents for approvals as necessary.
6. Process intercompany AP transactions as necessary.
7. Reconcile invoices to vendor statements and support accurate payment cycles.
8. Participate in testing for system updates and technology changes.
9. Understand and follow SOPs (Standard Operating Procedures).
10. Uphold confidentiality and ensure safe system usage.
11. Contribute to a culture of continuous improvement and collaboration.

Working Conditions:

1. Primarily working indoors, office environment.
2. May sit for several hours at a time.
3. Prolonged exposure to computer screens.
4. Repetitive use of hands to operate computers, printers, and copiers.

Qualifications:

1. High school diploma or GED required.
2. 1+ years of administrative or accounts payable experience, or relevant post-secondary education.
3. Basic understanding of accounting or financial concepts is preferred.

Essential Functions:

1. Process invoices in a single system.
2. Process plant and freight invoices accurately.
3. Maintain compliance with SOX, security, confidentiality, and safe system usage policies.
4. Communicate effectively to build professional relationships.
5. Perform 3-way matching with invoice and documentation imaging systems.
6. Batch/code invoices and support documentation review.
7. Properly follow audit procedures/policies & respond to audit documentation requests as needed.
8. Escalate issues to IT with appropriate detail.
9. Reconcile invoices and statement records.
10. Access and utilize SOPs effectively.

Supervisory Responsibility:

This role does not have any supervisory responsibility upon hiring.

Position Type/Expected Hours of Work:

This is a full-time hourly position, typically Monday through Friday 8:00 a.m. - 5:00 p.m., with flexibility based on business needs.

Travel:

Travel will not be required for this job.

Preferred Education and Experience :

1. High school diploma or GED required.
2. 1+ years of administrative or accounts payable experience, or relevant post-secondary education.
