Seasonal Event Coordinator

POSITION SUMMARY

The Seasonal Events Coordinator joins the Marketing and Events team to help plan and execute Beech Mountain Resort’s winter event calendar. Hours will vary based on the event schedule and the candidate’s availability, generally ranging from approximately 25 to 45 hours per week. Some weeks will involve more planning and preparation, while event weeks will require a more hands on schedule. The scope of this position is broad. The coordinator will work with bands, artists, vendors, partners and departments throughout the resort. This person will also take a leadership role in planning and executing a large fundraising event benefiting the Colon Cancer Coalition. We need someone who can keep a lot of moving pieces organized, anticipate what needs to happen next and remain flexible when plans change. Seeing the big picture is important, but so is catching the smallest detail.

RESPONSIBILITIES

Help plan and execute resort events from the initial concept through completion. Build event timelines, checklists and operational plans. Coordinate logistics with departments throughout the resort. Communicate with bands, artists, vendors and partners. Assist with artist advancing and day of show requirements. Coordinate setup and breakdown. Assist with scheduling and coordinating event staff. Work with Marketing to make sure event information is accurate and clearly communicated. Support sponsor and partner fulfillment. Take a leadership role in a major Colon Cancer Coalition fundraising event. Maintain organized event documents, contacts, timelines and budgets as assigned. Anticipate issues and work toward solutions before event day. Be present and hands on during events. Step in wherever help is needed. Evening, weekend and holiday availability will be required for certain events.
