Administrative Coordinator for the Vice President of Institutional Advancement

Under general supervision of the Vice President of Institutional Advancement, plans, coordinates and/or performs administrative, business management, and support services activities for the Institutional Advancement division of the college, including the departments of Marketing and Public Relations, Institutional Research (IR), Institutional Effectiveness (IE), Information Technology (IT), and the Center for Teaching and Innovation. Job Duties Provides comprehensive administrative support to the Vice President of Institutional Advancement and all departments within the IA Division. Manages calls, coordinates internal and external meetings, assists with VP IA reports, books travel and SACSCOC related trips and expenses, and serves as the primary point of contact for the IA Division. Supports the Human Resources Department by assisting with adjunct faculty recruitment, posting positions, communicating with applicants, onboarding, and faculty credentialing reviews. Oversees maintenance and updating of college-wide policies and procedures, ensuring alignment with institutional standards, regulatory requirements, and accreditation expectations. Maintains detailed financial and budgetary records for all IA departments, prepares purchase requisitions and invoices, reconciles Procurement‑card statements, monitors expenditures, and assists with financial planning for division and grant‑funded activities. Assists Marketing with coordination of promotional materials and updates to the college website, supports college‑wide communication efforts, manages digital and print content, maintains the college-wide Academic Calendar, and administers institutional surveys for planning and evaluation. Performs other related duties as assigned to support the effective operation of the Institutional Advancement division and the college. Requirements High school diploma and relevant experience in business management, public administration, or administrative services, or a bachelor’s degree may substitute for required work experience. Bachelor’s degree and relevant experience in business management, public administration, or administrative services is preferred (NETC). Knowledge of South Carolina Procurement Code and Policies, Colleague/Datatel system, agency policies, procedures, rules, regulations, fiscal and personnel procedures, and modern office practices. Valid driver’s license and willingness to travel up to 25 lb. for work-related purposes. Physical & Other Requirements Must be able to lift and carry files, books, and reports weighing up to 25 lb. Must be able to sit, stand, and walk for intermittent periods of time. Must be able to reach, bend, and twist at the waist to perform filing, desk work, and operate general office equipment. Minimal overnight travel may be required. Must attend mandatory college events as scheduled.
