Shipping Coordinator

The Shipping Coordinator prepares and coordinates domestic and government-related shipments to ensure accurate, compliant, and on-time delivery of products. This role maintains detailed shipping records in accordance with internal guidelines and government procedures, supports logistics and supply chain activities, and contributes to continuous improvement in manufacturing time and cost.

Responsibilities

• Request and prepare government Bills of Lading in accordance with applicable regulations and contract requirements.
• Prepare DD250s/WAWF documentation per contract release and ensure accurate submission through required systems.
• Prepare DD1149s in compliance with Federal Acquisition Regulation (FAR) requirements.
• Enter shipment requirements into Exostar and maintain accurate data for government and commercial shipments.
• Prepare commercial invoices for domestic and international shipments as required.
• Prepare packing lists using the designated online program and verify accuracy against shipment contents.
• Ensure proper distribution of all shipping documentation to internal stakeholders, customers, and carriers.
• Prepare shipments in compliance with 49 CFR, including proper packaging, labeling, and documentation.
• Apply regulations regarding hazardous materials (Hazmat) transportation and ensure shipments meet safety and compliance standards.
• Identify, secure, and properly track government-furnished property throughout the shipping process.
• Generate and maintain reports of all finished goods shipments as required.
• Maintain organized and accurate shipping department records in line with government and internal standards.
• Acquire transportation quotes from freight carriers and forwarders and evaluate options for cost-effective shipping.
• Make final shipping arrangements with freight carriers and forwarders, including scheduling pickups and confirming delivery details.
• Package small parts securely to prevent damage during transit.
• Prepare parts and associated paperwork for outsourcing and complete all required system transactions.
• Continually look for opportunities to improve manufacturing time and cost related to shipping and logistics, and provide data to support proposed improvements.
• Perform other shipping, logistics, and administrative duties as assigned to support department and organizational goals.

Essential Skills

• 2+ years of experience in supply chain, logistics, or inventory-related roles.
• Experience working in a manufacturing industry environment.
• Knowledge of Bills of Lading and their use in commercial and government shipping.
• Ability to maintain sensitive and confidential information in accordance with government standards.
• Ability to interact and communicate effectively with peers, supervisors, customers, and external contacts.
• Ability to interact appropriately with the public when necessary.
• Ability to adhere consistently to workplace rules, policies, and procedures.
• Advanced knowledge and application of the Microsoft Office Suite, including strong proficiency in Excel.

Additional Skills & Qualifications

• Familiarity with government shipping documentation such as DD250s, DD1149s, and WAWF processes.
• Experience using Exostar or similar secure government or customer portals.
• Understanding of 49 CFR requirements and Hazmat transportation regulations.
• Strong attention to detail and organizational skills for managing documentation and records.
• Ability to support continuous improvement initiatives related to manufacturing time and cost.
• Strong problem-solving skills and ability to work independently within established procedures.

Work Environment

This role is based in an office environment within a manufacturing setting, working Monday through Friday from 6:00 a.m. to 2:30 p.m. The position involves extended periods of standing and sitting, as well as repetitive motions such as keyboarding, 10-key data entry, and phone use. The Shipping Coordinator must be able to lift up to 10 pounds and follow standard precautions, including the use of personal protective equipment as required. Job Type & Location

This is a Contract to Hire position based out of Dallastown, PA.

Pay and Benefits

The pay range for this position is $22.00 - $25.00/hr.
