The Events team is a part of the Global Client Solutions Group and based in New York, Los Angeles, and Mumbai. This person will lead planning and execution on mid-size events from initial conception to reconciliation, including pre-event organization, budget management, production management, onsite execution, staff management, senior management liaison, final cost analysis. They will also own pieces of complex conferences. Events are hosted virtually and in cities around the world that range in size from 20 to 300 attendees. The successful candidate will deliver upon both on-going responsibilities to run existing processes and will also assist with creating new processes for global conferences and operations within the Global Client Solutions Group. This person will be responsible for venue selection, vendor relationship management, logistics management – production schedules, audio-visual and technology requirements, registration, compliance preclearance (if relevant), event collateral (signage, gifts, name tags), food and beverage selection, speaker management, space and meeting room allocations. They will also effectively interface and liaise with the Relationship Managers within the Global Client Solutions Group and Investor Relations teams are Ares. Reports to: MD, Head of Global Conferences and Events, Global Client Solutions GroupPrimary functions and responsibilitiesResponsible for lead planning and execution on mid-size events from initial conception to reconciliation; including pre-event organization, budget management, production management, onsite execution, staff management, senior management liaison, final cost analysisPartner with event lead to own specific pieces of large flagship eventsDeliver flawless events; including pre-con meetings, overall management of the event, working directly with the GCS team as well as Investment Leadership, Product Management, and various other stakeholders across the firm.Demonstrated ability to understand, analyze and articulate key themes, issues, risks and articulate all those elements to GCS Leadership and stakeholdersAbility to carefully consider consequences / outcomes, think before acting / speaking, demonstrate strong awareness, make sound decisions, serve as a trusted partnerMentor junior team membersPartner with the Global Conferences & Events team to research and plan event schedules that will best meet the needs of target markets within geographic regions; support the design, planning, implementation, marketing and coordination of events, conferences, roadshows, and logisticsOrganize and prepare for investor meetings as they relate to existing investors, including creating agendas, scheduling tours, and ensuring that all materials are prepared in a timely mannerEnsure an engaging client experience and achievement of program objectives by consistently meeting deadlines on assigned events and projects and keeping stakeholders apprisedResponsible for event RSVP tracking in Cvent & Salesforce, speak to registration statistics and report to Relationship Managers & Investor Relations teamsTake on ad hoc projects as neededExperience & Skills Required: 8-10 years of experience in financial services eventsStrong proficiency in Excel, PowerPoint and general Microsoft Office programsEducation: A Bachelor’s degree is required, preferably with a major in Accounting, Economics, Political Science, Finance, General Business or Management, and outstanding academic achievement.Proficiency in Cvent, Excel, PowerPoint and WordAbility to excel in a fast-paced, demanding environment while maintaining the highest quality standardsApproximately 30% of global travel will be requiredAbility to successfully manage multiple priorities and competing demands; result orientedStrong communication skills and team orientation; capability of interacting with key stakeholders to direct prioritization of related activityStrong client service orientationHigh accuracy and detail orientationGood judgment in terms of escalating issues vs. solving problems independentlyA solutions-oriented self-starter with ability to see the big pictureA demonstrated ability to research and leverage available resources to accomplish the task at handComfort in dealing with ambiguity and uncertainty in a dynamic and fast-paced environmentAbility to be flexible in terms of hours in order to coordinate with team members across various time zonesAn analytical mind and a passion/interest in bringing new ideas to increase efficiency of existing processesDependable, great attitude, highly motivated and a team playerAbility to handle confidential information appropriatelyHighly resourceful; able to collaborate; strength in time management with high stakes deadlinesReporting RelationshipsHead of Global Conferences & EventsCompensationThe anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.$135,000 - $165,000 / annumThe firm also offers robust Benefits offerings.
