Summary of responsibilities
This position provides customer service support to the advisors’ clients and is responsible for making an excellent first impression on clients, prospects, vendors, and others. You will assist with support in the day-to-day operations of a boutique investment firm, also handling the administrative logistics that keep the office running efficiently. This role is a great fit for someone who is detail-oriented, personable, proactive, and comfortable juggling multiple tasks.
Principal responsibilities
- Serve as the primary point of contact for all client inquiries, providing clear answers, guidance, and support while confidently handling as many client needs as possible before escalating to an advisor.
- Open new client accounts and ensure client paperwork and documentation is accurate prior to submission and processing. Follow up to ensure accurate completion.
- Organize and prepare materials for client meetings and planning sessions.
- Process money movement requests and place trades at advisor’s direction, if licensed.
- Regularly review news items, technology updates, and e-mail communications; report pertinent information back to advisor.
- Handle general administrative duties such as answering phones, coordinating appointments, and completing all necessary client or business paperwork.
- Actively look for ways to innovate and optimize our systems, offering suggestions that help the firm work smarter and deliver exceptional client support.
Required knowledge/skills
- Associates, BA or BS, or commensurate work experience preferred.
- Three years of experience preferred but not required in the investment/insurance industry.
- FINRA Series 6 or FINRA Series 7 registration or willingness to obtain; FINRA Series 66 a plus
- Exceptional customer service experience required
- A self-starter who can work independently, take initiative and proactively follow up on submitted items to ensure completion; resolve errors, questions or concerns
- Attention to detail and sophisticated organizational skills
- Effectively prioritize workload and meet deadlines
- Ability to interact with people across all levels of the business
- Proficiency with computer programs, including Microsoft Office 365 Suite; CRM a plus
