Job Summary The Admissions Advisor is responsible for the processing of admissions files and advising students and the public regarding basic admissions requirements. Work entails providing current, reliable information about routine requirements, forms, and procedures in the Admissions Office. Documents for admission are collected and entered into the computer system. Responsibilities Data Processing/Entry - 50%
- Enters applicant data into the university's student information systems (Banner, PeopleSoft, Slate CRM, or similar databases).
- Scans and indexes documents into digital systems for electronic record-keeping.
- Reviews admissions applications, transcripts, test scores, and supporting documents for completeness and accuracy.
- Verifies the authenticity of academic documents.
- Maintains accurate digital and physical filing systems.
- Conducts routine Slate and Banner audits via clean-up queries to ensure record accuracy and data quality. Customer Service - 30%
- Responds to inquiries from prospective students about application status and missing documents.
- Communicates with other departments such as Financial Aid and the Registrar's Office regarding applicants, as applicable.
- Notifies applicants of missing or incomplete documentation.
- Advises those who inquire of policies and procedures of admission.
- Follows established procedures to ensure consistency in application processing.
- Provides current, reliable information about routine requirements, forms, and procedures in the Admissions Office. Administrative Support - 15%
- Creates and maintains current and accurate documents and forms relating to admissions.
- Serves on campus-wide committees as appropriate.
- Attends regularly scheduled department and division meetings. Other - 5%
- Assists in other areas of the Admissions Office as needed.
- Supports admissions events and orientation programs.

- FERPA regulations and confidentiality requirements governing student records.
- Academic credential evaluation, including transcripts, diplomas, and standardized test scores.
- Basic understanding of related university offices (Financial Aid, Registrar, Academic Advising) and how they interface with Admissions.
- Data quality principles and methods for maintaining accurate records.
- General office administrative procedures, including scheduling, correspondence, and meeting coordination. SKILLS

- Proficiency in student information and CRM systems (Banner, Slate, or equivalent).
- Effective written and verbal communication for responding to student inquiries and interdepartmental correspondence.
- Scanning, indexing, and maintaining digital filing systems.
- Time management and prioritization in a high-volume, deadline-driven environment.
- Microsoft Office Suite (Word, Excel, Outlook) for document creation and routine administrative tasks.
- Customer service skills that reflect professionalism, patience, and consistency.
- Performing database audits and executing clean-up queries to ensure data integrity.
