Intake Coordinator for Busy Medical Practice

Position Overview We are seeking a detail-oriented and patient-focused professional to support the front end of a busy medical practice. In this role, you will be responsible for gathering, organizing, and verifying patient information, helping ensure a smooth and efficient intake process, and contributing to a positive experience for patients and care teams alike. Key Responsibilities Serve as the first point of contact for patients completing the intake process. Collect, review, and enter patient demographic, insurance, and medical information accurately. Verify forms, documents, and records for completeness and consistency. Coordinate with clinical and administrative staff to support patient flow. Assist with scheduling, appointment preparation, and follow-up communications as needed. Perform administrative task in the EMR to maintain the patient's charge Maintain confidentiality and comply with all applicable privacy and security standards. Respond to patient questions with professionalism, empathy, and clear communication. Help resolve intake-related issues and elevate concerns when appropriate. Provide instructions on navigating the practice website, portal and patient apps. Maintain organized files, records, and documentation systems. Support additional administrative tasks to help the practice operate efficiently. Qualifications High school diploma or equivalent required; additional education in healthcare administration or a related field is preferred. Prior experience in a medical office, healthcare setting, or customer service role is strongly preferred. Strong attention to detail and accuracy in data entry and documentation. Excellent interpersonal and communication skills. Ability to manage multiple tasks in a fast-paced environment. Proficiency with computer systems, electronic medical records, and standard office software. Comfortable working collaboratively with patients, providers, and administrative teams. Understanding of confidentiality practices and professional boundaries. Preferred Skills Experience with patient intake, registration, or front desk operations. Knowledge of insurance verification and basic healthcare terminology. Ability to stay organized while handling frequent interruptions. Strong problem-solving skills and a customer service mindset.
