Accounts Payable Specialist

Seeking an Accounts Payable Specialist to join our team. This is a priority position designated to manage existing workloads and maintain operational continuity during our current organizational transitions. The successful candidate will report directly to the Accounts Payable Lead and work closely with the broader finance department to support our mission-critical operations.

Responsibilities

• Full-Cycle Invoice Processing: Manage the entire invoice lifecycle, including receipt, accurate data entry, coding, and routing for internal approvals.
• 3-Way Matching: Perform 3-way matching of invoices, purchase orders, and receiving documents to ensure high accuracy and compliance with internal controls.
• Automation & Process Improvement: Actively contribute to the current "innovation period" by identifying manual tasks to automate and streamlining existing AP workflows.
• Advanced Data Analysis: Utilize advanced Excel proficiency (Pivot Tables, VLOOKUPs) to design cost reports, analyze monthly expense fluctuations, and provide actionable data insights.
• ERP Data Management: Oversee and maintain vendor data and transactional records within the ERP system (e.g., Quantum, SAP, Oracle, NetSuite, or QuickBooks).
• Payment Execution: Manage the payment process, including check runs, ACH, and wire transfers, ensuring timely execution.
• Vendor Reconciliation: Reconcile vendor statements, research and resolve discrepancies, and serve as the primary point of contact for vendor inquiries.
• Month-End Support: Assist the accounting team with month-end closing procedures, including accruals and general ledger coding.
• Collaborative Reporting: Work closely with the AP Lead and accounting management to support high-workload projects and organizational transitions.
