Job Title: Paralegal / Legal Assistant

Job Type: Full-Time (40 hours/week)

We are seeking a highly proactive and independent Paralegal/Legal Assistant to work closely with the Managing Director and 3 Associates. We expect the work product sent to our clients to be the best it can possibly be, making attention to detail paramount for this role.

The Role: We are looking for a true professional who takes ownership of their desk. The ideal candidate does not require micromanagement to meet baseline expectations. You must be an exceptional communicator, a self-starter, and someone who thrives on maintaining an organized and proactive workflow.

Key Responsibilities:

• Proactive Case & Calendar Management: Take total ownership of docketing without needing reminders, independently initiate daily progress huddles, and proactively schedule client meetings, hearings, and depositions. File management and organization.
• Litigation Support: Prepare hearing notebooks, trial exhibits, and court orders well ahead of scheduled hearings. File court pleadings, draft discovery and pleadings, document production, summarize depositions, and conduct legal research.
• Transactional & Estate File Management: Efficiently manage timelines for LLC formations (including SOS filings, EIN acquisition, and Operating Agreements) and Estate Planning files (from initial intake to final signing).
• Document Preparation & Intake: Draft, revise, and manage contracts, memos, and letters. Serve as the primary first line of intake for new leads and conduct initial conflict checks.
• Billable Hours & Time Tracking: Meticulously track your time using practice management software (Clio), ensuring the "Rule of 0.1" is applied to all tasks, with a goal of achieving 140 billable hours per month.

Requirements & Qualifications:

• Experience: Minimum of 4 years of relevant work experience in a legal setting.
• Education: Bachelor’s degree and/or Paralegal certification preferred.
• Attention to Detail: Absolute precision in your work is non-negotiable.
• Autonomy: Proven ability to manage a heavy workload with a positive attitude, requiring zero micromanagement to complete core responsibilities like docketing and hearing prep.
• Communication: Highly responsive with a commitment to internal communication protocols (such as acknowledging urgent communications within 30-60 minutes).
