Clinical Services Manager

Overview The Clinical Manager for Veterinary Services provides leadership and operational oversight for the shelter’s clinical staff and daily operations. This role focuses on staff development and training, inventory and equipment management, and project coordination for clinic-related events, ensuring services are delivered safely, efficiently, and compassionately. Oversee clinic volunteers in coordination with the Volunteer Coordinator. The Clinical Manager works closely with veterinarians, veterinary technicians, assistants, volunteers, and shelter leadership to support high‑quality patient care while advancing the shelter’s mission to improve access to veterinary services in the community. The Clinical Manager plays a key role in fostering a workplace culture grounded in accountability, teamwork, collaboration, inclusivity, respect, and recognition of the human–animal bond. This individual leads by example, supporting staff wellness and professional growth while promoting shared responsibility and mutual respect across all levels of the organization. Major Duties and Responsibilities Staff Management and Development Supervise, mentor, and support veterinary technicians, assistants, and clinic support staff; assist with performance evaluations, coaching, and corrective action as needed. Ensure clinical staff needs are met by recruiting and hiring new staff as needed, and actively participating as a member of the management team. Develop and maintain training protocols for clinical procedures, safety, customer service, and shelter-specific workflows. Coordinate onboarding and ongoing training for new and existing staff. Foster a positive, collaborative, and supportive team culture focused on continuous improvement. Address performance concerns in a fair, timely, and supportive manner, focusing on growth and shared responsibility. Clinic Operations & Project Management Plan, coordinate, and manage public clinic events, including vaccine clinics, spay/neuter days, and special outreach clinics. Oversee clinic scheduling and workflow to maximize efficiency while maintaining quality of care. Collaborate with leadership to implement new programs, processes, or service expansions. Track clinic metrics and assist with reporting on productivity, outcomes, and resource needs. Client Relations Serve as a point of contact for cross-department collaboration related to clinic services. Maintain strict confidentiality for clients, patients, and employees. Handle angry or grieving clients in a calm and reassuring manner. Promote a client-centered environment and facilitate processes that meet client needs. Work with clients on health issues related to impounded and adopted animals. Inventory & Supply Management Oversee ordering, stocking, and tracking of medical supplies, pharmaceuticals, vaccines, and controlled substances. Ensure compliance with regulatory requirements for medication storage, controlled drug logs, and expiration tracking. Monitor usage trends and adjust purchasing to minimize waste and prevent shortages. Coordinate with finance or operations staff to stay within budgetary guidelines. Equipment & Facility Maintenance Oversee maintenance, calibration, and repair of clinical equipment, including surgical and anesthesia equipment. Maintain service logs and coordinate with vendors for repairs and preventative maintenance. Identify equipment needs and assist with research, purchasing, and implementation of new equipment. Ensure clinic spaces meet safety, cleanliness, and regulatory standards. Quality Assurance & Compliance Support adherence to veterinary medical standards, shelter medicine best practices, and organizational policies. Assist in developing and updating standard operating procedures. Promote a culture of safety, compassion, and accountability for staff and clients. Support incident reporting and follow-up as needed. Ensure clinic policies and procedures are implemented consistently and equitably. Uphold organizational values related to inclusivity, respect, and ethical care in all clinical and operational decisions. Partner with leadership to address systemic barriers to access and continuously improve client and staff experience. Other Duties Oversee packaging, shipping, and ensuring results are received for outside laboratory diagnostic testing. Complete euthanasia training to be eligible for euthanasia certification on an as needed basis. Track expenses/income to assist with budget planning and management. Strong customer service skills. Strong oral/written communication skills. Interest in networking with other professionals. Preferred Credentialed Veterinary Technician (CVT/LVT/RVT) or Certified Veterinary Practice Manager or Business Management experience. Experience with inventory systems, clinic software, or shelter management systems. Project management experience for clinics, outreach events, or special programs. Bilingual skills are a plus. Working Conditions Employees should be able to work a flexible schedule, including evening and weekend shifts, as required. Works in a high noise level area. Exposure to industrial cleaning chemicals, fumes, dust, animal feces, bites, and scratches. Physical efforts require constant bending, stooping, and lifting up to 50 lbs. Works on rotating assignments daily. Safety procedures must be adhered to at all times. All new employees are required to pass a drug screen and background check. Compensation $28–$36 per hour, DOE.
