We are looking for an Escrow Assistant who understands that a successful closing is about much more than paperwork and deadlines. It is about helping people navigate an important transaction with confidence and making a complex process feel organized, smooth, and well cared for. Title or escrow experience is preferred, but it is not required. We can teach the technical side of the job. What we cannot teach as easily are curiosity, initiative, adaptability, resourcefulness, attention to detail, resilience, and a genuine desire to take care of people. You enjoy creating order, tracking deadlines, following up proactively, and keeping every moving piece on course. You understand that communication is not simply responding when someone reaches out. It is anticipating questions, providing updates before uncertainty turns into anxiety, and helping clients and transaction partners feel confident that everything is on track. You take ownership of your work and understand how your individual responsibilities contribute to the success of the entire transaction. You want to understand not only what you are doing, but why it matters , because that understanding drives you to be more thoughtful, thorough, and intentional in how you work. When a challenge appears, you do not freeze or wait for someone else to solve it. You ask questions, investigate, use available resources, adapt, and keep moving forward. You understand that successful closings require collaboration, accountability, and people who are willing to contribute wherever they are needed. RESPONSIBILITIES INCLUDE: Opening new files and entering transaction information accurately Saving, uploading, organizing, and naming documents Maintaining complete and orderly electronic files Sending routine emails, forms, instructions, and document requests Ordering payoffs, surveys, HOA documents, tax information, and other transaction items Following up on missing documents, signatures, invoices, and outstanding requirements Updating file notes, task lists, contact information, and transaction milestones Reviewing documents and data for accuracy, completeness, and inconsistencies Monitoring deadlines, calendars, closing dates, and outstanding items Answering phones and responding to routine client and transaction-partner questions Scheduling closings, signings, couriers, mobile notaries, or other services Preparing files, documents, labels, envelopes, and closing packages Scanning, copying, printing, mailing, and shipping documents when needed Providing proactive updates to clients and transaction partners Identifying potential issues and escalating them before they delay closing Supporting post-closing, recording, funding, and disbursement-related tasks Contributing wherever needed to support the escrow team and each successful closing Some parts of this role are fast-paced and highly collaborative. Other parts are routine, repetitive, and detail-heavy. The right person takes pride in both because they understand that the small, everyday tasks are often what prevent larger problems later.
