DOT Drug & Alcohol Collections Specialist — On-Site

DOT-qualified Urine Specimen Collector under 49 CFR Part 40. Drug & Alcohol Collections & Program Support Specialist Position Summary The Drug & Alcohol Collections & Program Support Specialist performs Department of Transportation (DOT) and non-DOT drug and alcohol testing while also providing administrative and operational support to the Global Substance Prevention Team. This role ensures compliant specimen collections, accurate documentation, timely coordination with DISA account managers clinics, and occupational health partners, and effective management of testing supplies, schedules, and results. The position requires strong working knowledge of 49 CFR Part 40, a high level of attention to detail, and proficiency with DISA and FormFox systems. This is an office-based role in a clinical setting and requires a high degree of professionalism, discretion, and reliability. Key Responsibilities Collections & Testing Perform DOT and non-DOT urine drug collections in accordance with 49 CFR Part 40, company requirements, and established procedures. Conduct DOT and non-DOT breath alcohol testing as a qualified Breath Alcohol Technician (BAT) or Screening Test Technician (STT) using approved testing devices. Collect hair follicle and oral fluid specimens in accordance with established protocols. Perform point-of-collection testing (POCT) for instant urine and oral fluid tests when authorized. Maintain strict chain-of-custody control and ensure accurate, complete documentation. Provide professional, respectful, and confidential service to employees, candidates, contractors, and stakeholders. Program Administration & Coordination MRO Safety Concern Notices Upload MRO Safety Concern notifications into the Electronic Medical Record (EMR). Create and assign tasks for Occupational Health team review and follow-up. Manage documentation related to laboratory confirmed positives and MRO negative results involving Fitness-for-Duty (FFD) concerns. MRO Clock Letters Contact employees or candidates to communicate the urgency of contacting the MRO to prevent escalation of test results. Document outreach efforts and timing in designated systems. Test Results Management Monitor and follow up on missing or delayed test results. Re-report Breath Alcohol Test (BAT) results from FormFox as needed. Contact clinics when results are not available in DISA or FormFox as expected and escalate unresolved issues appropriately. Scheduling & Communication Schedule candidates for pre-employment drug and alcohol testing. Notify and schedule employees for random drug and alcohol testing. Communicate clearly and professionally with candidates, employees, clinics, occupational health partners, and program administrators. Supply & Inventory Management Chain of Custody Forms (CCFs) Order DOT Chain of Custody Forms through designated contacts and coordinate shipment to required locations. Testing Supplies Intake and coordinate requests for drug and alcohol testing supplies, equipment, and training from company-managed clinics and approved third-party mobile collectors. Ship available supplies or coordinate procurement through the Program Manager when needed. Inventory Management Maintain accurate inventory records of all drug and alcohol testing supplies and equipment, including: Serial numbers Quantities Expiration dates Shipping or storage locations Proactively request supplies to avoid shortages and unnecessary expedited shipping costs. Systems & Compliance Utilize DISA and FormFox to initiate testing events, document collections, upload results, manage tasks, and maintain records. Identify and appropriately document shy bladder events, refusals to test, and collection irregularities. Maintain compliance with privacy, confidentiality, and data security requirements. Maintain current certifications, required training documentation, and proficiency across all testing methods performed. Travel & On-Site Support Travel to local Houston, Baytown, and Sugar Land office locations to perform drug and alcohol testing as required. Support on-site, mobile, or clinic-based testing operations. Work Schedule This position follows a 9/80 work schedule. Standard work hours are 7:00 a.m. – 4:00 p.m. The employee will have every other Friday off. When scheduled to work on Fridays, work will be performed remotely. No additional remote or hybrid work arrangements are authorized. Work Location This role is office-based and performed in a clinical setting. Regular, on-site presence is required to support testing operations and administrative responsibilities. Professional Conduct & Role Expectations The Drug & Alcohol Collections & Program Support Specialist is expected to maintain the highest level of professionalism at all times. The role includes direct interaction and communication with executives, senior leaders, and cross-functional stakeholders. Professional behavior, discretion, clear communication, sound judgment, and attention to detail are essential. The position requires strict adherence to corporate standards of workplace conduct. Supervision & Additional Duties This role operates under the direction of the Global Substance Prevention Manager and Global Substance Prevention Coordinators. Other administrative and clerical duties may be assigned as business needs evolve, consistent with the responsibilities of the role. Required Qualifications DOT-qualified Urine Specimen Collector under 49 CFR Part 40. Certified Breath Alcohol Technician (BAT) and/or Screening Test Technician (STT). Demonstrated experience performing: DOT and non-DOT urine collections Breath alcohol testing Hair follicle collections Oral fluid collections POCT instant urine and oral fluid testing Strong working knowledge of DOT 49 CFR Part 40. Proven experience using DISA and FormFox. Strong organizational and documentation skills with a high level of accuracy. Professional communication skills and ability to manage sensitive situations. Proficiency with standard computer systems and electronic recordkeeping. Strong proficiency with Microsoft Outlook, Teams, Excel, and Word Preferred Qualifications Experience in regulated or safety-sensitive environments (e.g., transportation, energy, industrial). Experience supporting occupational health or enterprise drug and alcohol programs. Experience with multi-site or mobile collections. Familiarity with Fitness-for-Duty processes. Designated Employer Representative (DER) Work Environment & Physical Requirements Ability to stand, walk, and perform collection activities for extended periods. Ability to transport testing equipment and supplies. Flexibility to meet scheduling needs driven by testing requirements. Local travel required. Confidentiality & Ethics This role requires strict adherence to confidentiality requirements related to employee medical information, test results, and sensitive program data. All information must be handled in compliance with applicable laws, regulations, and company policies. The Specialist is expected to act with integrity, impartiality, and professionalism at all times. Breaches of confidentiality, unethical conduct, or failure to follow regulatory requirements may result in disciplinary action up to and including termination.
