Senior Parts Specialist

The Senior Parts Specialis t is a hands-on role responsible for accurate and timely parts ordering, parts processing, parts purchasing, parts replenishment, and parts-related support across internal Service, Sales, Warehouse, Accounting teams. This position serves as main parts POC, while maintaining parts stock levels and monitoring turnover.

Responsibilities

• Parts Order Processing & Customer Support: Manage orders from entry through fulfillment and shipment. Ensure orders are accurate and timely; provide parts pricing, availability, shipment status, and general support to customers and internal sales/service teams. Serve as backup for parts coordination and shipping when needed.

• Inventory Control & Accuracy: Maintain accurate inventory records and transactions for all parts movement. Support annual physical inventory, quarterly cycle counts, and routine spot checks. Investigate and resolve inventory discrepancies, ensuring receipts, issues, returns, transfers, and adjustments are recorded correctly.

• Replenishment & Inventory Planning: Review on-hand quantities, parts demand, forecasts, lead times, and sales/service requirements. Maintain appropriate reorder points and stocking levels.

• Supplier Follow-Up: Confirm supplier acknowledgements, pricing, quantities, and expected ship dates; follow open POs through delivery.

• Receiving, Returns & Warranty : Coordinate/verify incoming parts before inventory receipt; ensure correct quantities, condition, labeling, and warehouse locations. Support container receiving documentation. Process customer RMAs and returned parts.

• Process Coordination: Coordinate parts inventory activities, supporting cross-department coordination.

• Cross-Functional Coordination: Maintain accurate inventory, purchasing and item information, reordering, and transaction records. Ensure warehouse parts are stocked, labeled, organized, and transactionally accurate.

Qualifications

• High school diploma. *No degree required; this is NOT an Analyst position.

• 3 years of parts experience within a manufacturing/warehouse environment.

• Possessing intermediate Excel skills. Some general knowledge of ERP systems preferred.

• Exhibits effective organization, prioritization, communication skills.

• Physically able to lift up to 50 pounds with the ability to bend, stand, and kneel as required.
