Job Summary
The Administrative Assistant III is a full-time, 12-month position that ensures the smooth and efficient operation of the School of Health Science & Wellness by managing administrative logistics, coordinating communications, and maintaining accurate records. This role enhances the effectiveness of faculty, staff, and students by anticipating needs, maintaining compliance with institutional and external policies, and providing timely support for budgeting, scheduling, and reporting. The Administrative Assistant III plays a critical role in sustaining an organized, responsive, and student-centered environment.
Principal Responsibilities and Results, KSA's ESSENTIAL FUNCTIONS: - this position is non-exempt and is eligible for compensatory or overtime pay provisions of the FLSA. - Ensures effective internal operations by proactively coordinating logistics for meetings, events, and routine departmental functions, and by facilitating collaboration with other departments to streamline approvals, documentation, and scheduling.
- Supports institutional accountability and transparency by documenting and distributing clear, accurate meeting records and ensuring compliance with policy and procedure updates.
- Enhances continuity of operations by assisting with hiring and onboarding processes and supporting the implementation of HR-related functions in accordance with institutional guidelines.
- Strengthens administrative accuracy and accessibility by organizing departmental records, reports, and documentation in a manner that supports timely reporting and decision-making.
- Maintains a functional and safe working environment by monitoring facilities and equipment needs and coordinating prompt maintenance or service requests.
- Maintains comprehensive, organized, and audit-ready financial records by accurately facilitating tracking contracts, purchase orders, P-card transactions, requisitions, and other expenditures in strict compliance with institutional policies and guidelines.
- Facilitates efficient and compliant procurement operations by coordinating contracts, processing invoices and reimbursements, managing blanket purchase orders, and ensuring timely availability of departmental supplies and equipment.
- Ensures seamless faculty travel experiences by accurately processing travel requests and expense reports, supporting compliance with College travel policies.
- Guarantees payroll accuracy and timeliness by preparing and coding necessary documentation within deadlines, ensuring all faculty are compensated correctly and on schedule.
- Enables timely and accurate course registration by maintaining current course schedules and ensuring all course data is correctly entered across registration platforms.
- Optimizes classroom utilization and instructional readiness by coordinating room reservations and guaranteeing that technological and spatial needs are met for all scheduled courses.
- Supports faculty and students by ensuring course materials and syllabi are complete and accessible, contributing to a well-prepared and consistent learning experience.
Knowledge
- Administrative - Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology.
