Assistant Director of Events and Operations (5155C), Haas Core Programs #87100

Responsibilities The Assistant Director of Events and Operations serves as a resource and provides information and advice to students and other parties interested in matriculating through or interacting with the Haas Undergraduate Program. This role forwards non‑routine inquiries to the appropriate resource, maintains knowledge of Undergraduate Program processes, and provides backup to other functions within the unit, as needed. The incumbent manages the Travel & Entertainment process for staff professional development, coordinates larger annual program events and other student affairs programming, supports the international and domestic case competition training program in collaboration with the Director of Global Experience, assists the Assistant Dean, students, and faculty in academic advising, recruitment, pre‑admissions, student orientation, and related services, advises student leaders on event planning, room reservations and event policies, and handles all student and staff reimbursement requests and processing. Events and Operations Develop efficiencies and processes to enhance the student experience and student affairs. Support and manage logistics and event planning related to Golden Bear Orientation, Welcome Activities, Cal Day, Haas Picnic, and other UGPO signature events. Assist with international and domestic travel and lodging arrangements for student trips. Create and implement new extracurricular activities to enhance student engagement in collaboration with the Student Affairs team. Develop and maintain relationships and negotiate contracts with vendors for student experience events, including food & beverage, hotels, etc. Evaluate vendor quality and cost effectiveness and recommend changes to the UG Program Leadership Team. Track the UG Program budget, making recommendations to the team. Manage purchase order processing and related vendor activities. Manage all student and staff reimbursement and reconciliation processes. General Operations and Program Office Support the case competition program by serving as contact to students, partners, handling travel logistics, reservations, and related activities. Manage travel and entertainment reimbursement and risk‑management protocols. Respond to inquiries from students, faculty, UG program staff, and other campus offices regarding program requirements and assistance. Communicate regularly with students and faculty regarding program updates, events, scheduling, and other matters. Student Affairs Serve as advisor and mentor to student leadership officers in professional development. Liaise with campus departments and service providers such as Career Services, Facilities, Computing, Media Services, Alumni Relations, Marketing, Library, Registrar, Health Services, and Parking. Oversee key operational aspects of the program, working closely with the Assistant Dean, Director of Academics, Director of Student Affairs, Director of Admissions, and Associate Director of Student Services. Professional Learning and Growth Engage in training, workshops, seminars and continuous education as outlined by the supervisor. Contribute to a team environment that promotes diversity, equity, inclusion and belonging (DEIB) and supports Haas' four Defining Leadership Principles. Complete required training on time and pursue learning opportunities. Other duties as assigned. Required Qualifications Experience in managing operations, reimbursement reconciliation, and event planning. Knowledge of advising and counseling techniques. Competency with Google and Microsoft office suites, Canva for presentations, and Bearbuy for purchases. Ability to multi‑task and follow through with multiple urgent deadlines. Strong verbal, written and interpersonal communication skills. Multicultural competence and ability to work with diverse populations. Basic knowledge of student immigration and visa processes. Problem identification and reasoning skills. Understanding of University rules and regulations. Excellent interpersonal skills and professional relationship building. Education / Training Bachelor's degree in a related area and/or equivalent experience or training. Preferred Qualifications Experience with purchasing systems and vendors (e.g., Bearbuy). Skills in service orientation, organization, active listening and critical thinking. Experience with mailchimp or other newsletter management systems. Salary & Benefits This is a non‑exempt limited temporary position at 50% (20 hrs a week). The position is paid biweekly at an hourly rate. The budgeted hourly range is $26.92 – $36.21.
