JOB SUMMARY
The Inside Sales position helps grow revenue and profit for Industrial Municipal Supply Co., Inc., hereinafter referred to as IMSCO, by handling incoming communication with customers looking for pricing and information on material, equipment sales, equipment rentals, and technician services. This position will include all aspects of sales and service, such as assisting customers with quotes and procurement of materials needed for projects. The Inside Sales Department will also provide customers with technical information, equipment recommendations, or job site knowledge when quoting products, and sourcing material and equipment to ensure overall customer satisfaction. This position is critical as it is the core of generating information for all departments within IMSCOs organization. The Inside Sales team will be handling customer service in the sales department where the request is delegated to the warehouse for ordering/shipping and all documentation is sent to accounting for finalization. Completing sales orders properly and timely is of the utmost importance in this role. Communication is key to a great customer service experience, repeat business is paramount to ensure IMSCO will meet and exceed its yearly goals.

INTERRALTIONSHIPS: The Inside Salesman works as a member of a team to ensure that customers have a positive experience with IMSCO. This position works closely with other supporting sales team members (responsible for taking calls, receiving emails, quoting, converting quotes to sales orders, purchasing job specific material, setting up all inbound job specific freight, scheduling in-house fabrication projects, scheduling field work, and fusion equipment rental), the Shipping Team (responsible for ensuring orders are shipped out via preferred carriers), the Purchasing group (responsible for IMSCOs inventory), the Mechanic (responsible for equipment repair), the Fusion Technician (assigned to the in-house fabrication or field project), and Accounts Receivable (responsible for invoicing).
QUALIFICATIONS
Education: Highschool diploma or equivalent.
Training and Experience: Inside Sales or Customer Service experience in the HDPE industry is highly desirable for this critical position in sales and customer service. However, experience in other industries will be considered.
Abilities Required: Requires excellent customer service and interpersonal skills. Must be able to communicate clearly and effectively (both written and verbal), maintains high attention to detail, has great organizational skills and exceptional negotiating skills. Must be able to establish and develop relationships with customers and vendors. Should be able to learn quickly, work at a rapid pace, multi-task, and respond to customers with a sense of urgency. Must have basic computer skills and be proficient in Microsoft Office.
PHYSICAL REQUIREMENTS
Physical requirements for this position include but not limited to the following:
- Works in multiple settings both indoors and outdoors (including manufacturing, plant type settings). Exposure to various temperatures and conditions.
- Sitting or standing for long periods of time.
- Holding a handset to interact with customers or vendors for long periods of time.
- Lifting up to 50 lbs. or more.
- Working in close proximity to fellow employees.
- Continuous computer data entry.
- Ability to communicate easily and effectively, including speaking and writing clearly.
PRIMARY RESPONSIBILTY AND ESSENTIAL TASK/DUTIES
I. Customer Service, Sales Support and Quoting Process
- Responds to initial customer communications via telephone and e-mail in a courteous and timely manner. Determines the customers needs in terms of material, equipment, service, specifications, and timeframe. Communication with customers will include incoming calls via company landline, cell phone, e-mails, web request generated from marketing departments, calls from outside sales team or leads generated by the team, answering calls from intercom paging system announced by receptionist or other team members.
- Acts as the point of contact for all customers being serviced by the outside sales team, providing these customers with accurate, courteous, and timely quotes and other customer services per company policies and practices.
- When servicing customers, records all relevant customer information including company name, location, and contact information as well as information regarding the material, equipment or services needed, date needed, and specific follow-up date.
- Prepares a complete and accurate quote based on the customers needs and consistent with all detailed information, verifying that all relevant information is included in the quotation before submitting it to the customer.
- Submits, usually via e-mail, quote to customer along with all relevant information pertaining to the sales job being quoted and incorporating information about IMSCO to assure customers are aware of the competitive advantages that sets IMSCO apart from other companies associated with service and products offered by IMSCO.
- Follows up on quotes that were not converted to an order prior to the customers previously stated required delivery time in a manner displaying good customer service, logs information pertaining to the quote on the companys operating system.
II. Sales Order and Rental Equipment
- Completes requested orders in an accurate and timely manner, confirming all order information (payment terms, shipping address, site contacts, shipping terms, etc.) with the customer prior to final processing of order.
- Inputs all sale information from original quote into final format, confirming details associated with quote and customer.
- Prints out, organizes and places the sales orders, purchase order and any other needed paperwork into the inside sales file drawer in the file the order belongs.
- If material is needed for the order that is a nonstock item, a DS part number is to be generated, procured, and purchase order to be sent to the appropriate vendor.
- Prints out and places a worksheet in the appropriate sleeve and places it in the correct hands/bin with instructions to the person responsible for carrying out shipment, fabrication or field work.
- Schedules Rental Equipment by filling out Rental Check List, updates OneDrive to Reserve and places Rental Check List in an orange sleeve, places orange sleeve in shipping basket, and Red Tags the Equipment reserved.
- Updates OneDrive when equipment is shipped, returned, and needing repair after rental.
III. Inputting and Updating Customer Contact Information
- Inputs and/or updates customer contact information into IMSCOs Customer Relationship Management Program (CRM).
- Documents any information provided by the client that is pertinent to the project, quoting or for accounting.
IV. Administrative Duties and Supportive Services
- Maintains a system of documenting expenses by keeping receipts, traveling expense, office expense, dues and/or vehicle expense and submits them in a timely manner.
- Plans and prioritizes work week schedule by contacting technicians and customers via telephone and/or email to assure effective and time efficient interactions with customers.
- Completes quotes/sales orders in an accurate and timely manner.
- Attends required or beneficial training, team meetings and/or mandatory company meetings.
