Manager, Campus Distribution & Asset Control (Contingent II)

Job Summary Reporting to the Associate Director of Business and Auxiliary Services, the Manager, Campus Distribution & Asset Control oversees the university’s Asset Management, Central Receiving, and Mail Services units, ensuring accurate property records, efficient delivery and secure mail handling, and continuous improvement of operational systems. Salary: $75,000 - $80,000 Responsibilities Asset Management Develop, implement, and maintain policies, systems, and accounting methods for property recordkeeping. Prepare physical inventory, year‑end activity, and other special reports. Oversee new capital and sensitive property acquisition matters and record updates. Plan and supervise the physical inventory/audit cycle. Assist in policy and internal manual development. Maintain and update asset management software. Prepare specialized capital and non‑capital asset reports. Act as the initial point of contact for departmental asset‑related activities. Central Receiving Manage receiving, storage, and distribution operations. Inspect and verify incoming shipments against delivery documents and PO specifications. Process and categorize received packages. Coordinate daily delivery tasks and adapt to inbound volume variations. Maintain warehouse organization and safety (e.g., 5S principles). Mailroom Services Oversee incoming and outgoing mail, including USPS pickups and deliveries. Sort and distribute mail and parcels to departments. Process monthly chargebacks and document daily resident package receipts. Handle special mailings and urgent internal deliveries. Supervision and Leadership Supervise, train, and develop staff across all units. Enforce SOPs and safety standards, monitor KPIs, and implement process improvements. Determine work priorities, schedule plans, assign tasks, and review performance. Facilitate daily stand‑up meetings covering safety, priorities, volume, and coordination. Manage expenses and prepare purchase requisitions. Ensure compliance with federal, state, and university policies to maintain a safe work environment. Perform other duties as assigned. Minimum Qualifications Bachelor’s degree in a related field or equivalent combination of education and 5 years experience. Minimum of two (2) years of management or supervisory experience in asset management, warehouse operations, or mailroom services, preferably in higher education or the public sector. Required Knowledge, Skills & Abilities Extensive experience in property inventory methods and asset management best practices. Strong knowledge of warehouse KPIs, safety standards, and WMS platforms. General knowledge of PeopleSoft Asset Management software, Workday. Ability to design, execute, and maintain accurate records. Understanding of warehouse operations: receiving, storage, distribution. Experience managing mail services, including chargebacks. Exceptional leadership, supervision, coaching, and team development skills. Professional communication with academics, administrators, staff, and students. Strong decision‑making, planning, organizational, and problem‑solving skills. Ability to work independently, prioritize tasks, and manage multiple functions. Excellent written and verbal communication for reporting and policy development. Commitment to safety protocols in warehouse and mail services. Operational knowledge of pallet jacks, PIT equipment (if applicable). Ability to work in varying noise levels. Physical requirements: lift up to 49 lb, push, pull, squat, bend, reach; climb stairs (if applicable). Conditions of Employment This is an essential position.
