Transaction Coordinator

Job Type: 12 month Contract

Location: Atlanta, GA 30309

Pay Rate: $25.00–$32.00 per hour

Schedule: Monday–Friday, 8:00 AM–5:00 PM

The Transaction Coordinator provides essential administrative, operational, and analytical support for real estate transactions across a national or global corporate client portfolio. This role supports transaction managers and brokers throughout the transaction lifecycle, helping maintain accurate documentation, coordinate with internal and external stakeholders, and ensure timely completion of transaction-related activities.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced, client-focused environment.

• Assist brokers and transaction managers with lease, sale, purchase, and sublease activities.
• Gather project requirements and prepare materials for field broker selection.
• Track transaction milestones and maintain accurate documentation throughout the transaction process.
• Ensure required approvals are routed accurately and completed in a timely manner.
• Assist with reviewing and organizing financial analyses, deal summaries, and supporting documentation.
• Coordinate with legal teams by providing required documents for review and facilitating signature processes.
• Maintain transaction databases, enter deal information, and ensure all updates are accurate and current.
• Prepare transaction status reports, presentations, and other materials for client review.
• Support planning and logistics for client site visits and market tours.
• Ensure client and broker engagement documentation is properly processed and maintained.

• Help develop, update, and organize standard templates, forms, checklists, and procedures.
• Follow established workflows and playbooks to support consistent service delivery across markets.
• Monitor data accuracy for KPI reporting and assist with collecting metrics related to transaction performance.
• Identify opportunities to improve processes, increase efficiency, and streamline workflows.
• Support onboarding of new team members by sharing templates, tools, and process overviews.
• Provide administrative support to transaction managers and assist with coordinating work for junior administrative team members as needed.

• Assist with gathering data and materials needed for strategic planning activities.
• Support the identification of occupancy cost-saving opportunities by preparing reports and data sets.
• Assist with strategic initiatives by coordinating tasks, maintaining trackers, and following up on action items.
• Assist in preparing business cases, financial summaries, and supporting documentation.
• Maintain strategic planning files, data sources, and reference materials to ensure accuracy and accessibility.

Required:

• Bachelor’s degree (BA/BS) in any field.

Preferred:

• Degree in Business, Real Estate, Finance, or a related discipline.
• Active real estate license or willingness to obtain one.

• 1–3 years of experience in real estate, administration, project coordination, or a related field.
• Prior experience supporting transaction or project workflows is preferred.

• Strong organizational skills and exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to analyze basic financial documents and accurately interpret data.
• Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
• Strong client-service orientation with the ability to communicate professionally with internal and external stakeholders.
• Ability to collaborate effectively within a team environment.
• Ability to manage multiple tasks, deadlines, and shifting priorities.
• Proactive, dependable, and comfortable working in a fast-paced environment.
• Strong follow-through and ability to maintain accuracy while managing multiple workstreams.
