FRONT DESK ASSOCIATE (UNACCOMPANIED HOUSING)

Overview Position located at Unaccompanied Housing front desk. Responsible for front desk functions for lodging program. Responsibilities Ensure security of all guests at all times. Maintain guest privacy. Provide welcoming manner, positive attitude, effective communication; professionally interact with guests, answer questions about hotel facilities and local attractions. Assist in handling customer complaints, involving management as necessary. Utilize Property Management System (PMS) to access guest information, retrieve or modify reservations, register guests; verify registration details, secure credit card for incidental expenses, authorize room charges, provide room keys or cards. Process reservations within established guidelines; if rooms are not available, provide certificate of non‑availability (CNA) and/or alternative lodging options. Register and assign rooms; issue keys/cards; transmit and receive messages; keep records of occupied rooms and guest accounts; make and confirm reservations; present statements and collect payments. Maintain change fund, prepare Close Bank Report, and deposit cash receipts at shift end according to procedure. Inventory keys and any other supplies or amenities; keep front desk and lobby area clean and neat. Run and print PMS reports such as Expected Arrivals, Departure List, In‑House Guest List, Night Audit, and Daily, Monthly, and Annual occupancy reports. Verify charges for correctness, make adjustments if errors occur, complete all computer‑generated reports, and note any account discrepancies. Answer phones, transfer calls, and reply to guest questions. Log trouble calls in the PMS and ensure the appropriate department is notified; relocate guests when required. Retrieve Lost & Found items and contact guests regarding lost or found items. Perform other related duties as assigned. Schedule Position requires a rotating shift schedule and may be scheduled for any time during a 24‑hour day, 7 days a week. Qualifications Minimum six months of hospitality operations experience demonstrating knowledge of basic principles, standards, regulations. Proficient with personal computers and various software programs. Basic math and reading skills. Clear, effective communication in English, both verbal and written. Conditions of Employment Must be at least 18 years old to operate the Point of Sale (POS) system. Salary must be sent to a chosen financial institution via Direct Deposit/EFT. Must successfully pass the E‑Verify employment verification check; discrepancies must be resolved prior to employment. Will be considered ALPHA personnel and subject to work during inclement weather or other states of emergency. Must be able to communicate clearly and effectively in English, both verbally and in writing. Education No specific education requirement.
