Core Responsibilities

Patience Experience & Front Office

• Serve as the first point of contact for every patient, creating a warm, polished, concierge-level experience from their first inquiry through every visit.
• Welcome patients, manage check-in and check-out, and ensure every interaction reflects the Akinosun Aesthetics brand.
• Answer phone calls, text messages, emails, and patient inquiries promptly and professionally.
• Manage provider schedules, appointment confirmations, and calendar optimization.
• Process payments, maintain accurate records, and complete patient checkout.
• Maintain an organized, polished, and welcoming reception area

Patient Coordination

• Guide patients through consultations with Dr. Akinosun, treatment planning, and scheduling with professionalism and empathy.
• Review treatment recommendations, pricing, and financing options with patients.
• Coordinate surgical procedures and aesthetic treatments.
• Facilitate financing applications through PatientFi, Cherry, and other financing partners.
• Secure deposits, collect required documentation, and confirm procedure dates.
• Build meaningful patient relationships through thoughtful consultation follow-up and ongoing communication.
• Track consultation outcomes and help nurture prospective patients through the decision-making process.

Clinical & Practice Support

• Escort patients to consultation and treatment rooms while ensuring comfort and confidentiality.
• Obtain and update patient histories and intake documentation.
• Prepare treatment and procedure rooms before and after patient visits.
• Assist the physician with office-based procedures within training and scope.
• Monitor and replenish clinical inventory and supplies.
• Help maintain safety, cleanliness, and regulatory standards throughout the practice.

Practice Growth & Operations

• Take ownership of day-to-day operations and identify opportunities to improve workflows and the patient experience.
• Help build and refine systems as the practice continues to grow.
• Support special projects, marketing initiatives, practice events, and other operational needs as they arise.
• Contribute wherever needed with a collaborative, team-first mindset.

Required Qualifications

• 2+ years of experience in a client-facing coordination, hospitality, healthcare, or luxury service role.
• Experience delivering exceptional client or patient experiences in environments where relationships, professionalism, and attention to detail are essential.
• Outstanding communication and interpersonal skills with a natural ability to build trust and rapport.
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
• Experience with scheduling, payment collection, administrative operations, or client coordination.
• Comfortable discussing pricing, financing options, and following up with prospective patients.
• Experience working within an electronic medical record (EMR), customer relationship management (CRM), scheduling, or similar practice management system.
• Highly self-motivated with the ability to take initiative and manage responsibilities independently.
• Professional appearance, discretion, and commitment to confidentiality.
• Excited to contribute in a collaborative, startup environment where flexibility and ownership are valued.
