Salary Range: $85,000 -$102,000

POSITION SUMMARY

Lead Operations. Build Community. Preserve a Legacy.

We are seeking an experienced, highly organized, and service-oriented Assistant Director of Operations to serve as the organization's senior operational leader. This role is ideal for someone who enjoys combining hospitality, facilities management, customer service, team leadership, and nonprofit mission-driven work. Much like the General Manager of a boutique hotel, the Assistant Director will oversee the daily operations of our residential community, ensuring an exceptional resident experience while maintaining a historic property, supervising staff, and ensuring strong financial and operational performance.

Key Responsibilities

• • Lead the day-to-day operations of Thompson-Markward Hall by fostering a welcoming, supportive, and community-focused living environment.
  • Supervise the Resident Services Manager and Front Desk and Housekeeping Manager
  • Oversee resident services, applications, reservations, occupancy management, move-ins, and move-outs.
• Translate organizational goals, policies, and contractual requirements into effective operating procedures.
• Monitor operational performance and recommend improvements that strengthen safety, service quality, accountability, and cost efficiency.
• Maintain a visible presence within the facility and respond promptly to operational concerns raised by residents, employees, contractors, community partners, and visitors.
  • Ensure exceptional customer service and resident satisfaction.
  • Oversee maintenance requests, vendor relationships, building systems, and facility improvements.
  • Coordinate operational activities with renovation and construction projects.
  • Monitor resident accounts, operational expenses, payroll processes, and financial reporting.
  • Ensure operational compliance, safety, emergency preparedness, and organizational standards.
  • Partner closely with the Executive Director to help advance TMH's mission and strategic goals.

QUALIFICATIONS & SKILLS

To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. Must provide excellent customer service, high ethical standards with professional appearance and demeanor, and embrace fulfilling the company’s mission focused work are required. The following attributes are essential for the position:

• Requires proficiency in Microsoft Office and other relevant electronic recordkeeping systems, and operational reporting tools.
• Business and financial acumen skills required.
• Excellent communication, interpersonal, time management, analytical, and organizational skills with exceptional attention to detail are required.
• Results driven and self-motivated problem solver with the ability to manage multiple projects.
• Demonstrated experience with regulatory compliance, audits, inspections, incident management, and policy implementation.
• Ability to exercise sound judgment, maintain confidentiality, and manage sensitive or high-pressure situations.
• Ability to adapt and flex with changing schedules, work efficiently, and respond proactively to residents, managers, staff, alumni, and external stakeholders to achieve positive outcomes.
• Experience supervising employees, managing schedules, addressing performance concerns, and coordinating cross-functional work.

EDUCATION AND EXPERIENCE

• A bachelor’s degree in hospitality, Business Administration, Nonprofit Management, or related field is required.
• Minimum of three years’ experience in a supervisory or management position required.
• At least five years of progressively responsible operations, residential services, facilities, hospitality, human services, property management, or nonprofit experience is preferred.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

• • Primary functions involve the ability to work primarily on-site in a residential facility operating 24 hours a day, seven days a week and to move throughout the facility, including residential rooms, offices, common areas, stairways, storage areas, and exterior spaces.
  • Ability to remain stationary, operate standard office equipment, and communicate effectively for extended periods.
  • Ability to lift or move supplies and equipment weighing up to 50 pounds.
• Ability to respond to urgent operational matters outside standard business hours. Requires schedule flexibility including some occasional evenings, weekends, holidays, and on-call coverage.
  • May be exposed to challenging behaviors, crisis situations, inclement weather, and other conditions associated with a residential environment.
