Payment Operations Administrator

divh2Payment Operations Administrator/h2pThe US Payment Operations team is responsible for processing the accounts payable and cash management transactions for the Americas region. This position supervises the team responsible for processing the day-to-day firm and fund invoice payments and employee reimbursements. This position is responsible for ensuring invoices submitted for processing are properly and timely assigned to team members, and move through the workflow expeditiously; proactively identifying and resolving issues in workflow. This position also leads the periodic regulatory reporting requirements. The ideal candidate has a strong operations background, proven track record for issue resolution and training junior team members. This candidate would also have a solid understanding of accounting and payment processes, is detail-oriented with excellent organizational, communication, analytical and critical thinking skills. The candidate must be able to thrive in a fast paced, deadline driven and high volume environment and easily prioritize competing tasks for their work, and their direct/indirect reports while consistently producing quality results./ppDaily Responsibilities (70%)/pulliRequest Management/liulliOversee end-to-end request management across ServiceNow (SNOW) and GPM platforms, ensuring operational efficiency and adherence to established SLAs./liliMonitor team performance metrics, proactively identifying issues and implementing corrective actions as needed./liliLiaise with regional Payment Operations teams to ensure requests are properly handled as appropriate./liliLead and manage third-party offshore resources, ensuring productivity, quality control, and adherence to deadlines./liliLead, train, and assist with the Sales and Use process along with staff ensuring all reporting states are submitted for payment monthly/Quarterly./li/ul/ululliPayments/liulliApprove invoices in the Payment Operations Manager and Exception workflow steps./liliAssist with troubleshooting payment issues and collaborate with Banking Operations and GTS/EPOST as needed./liliCancel and re-issue payments that failed and/or returned./liliAssist with approval reminders and escalations as needed./li/ul/ulpOther responsibilities (30%)/pulliComplete the OneStream Reconciliations related to Sales and Use and AP reconciliation accounts./liliAssist with the monthly outstanding check liability review to determine if payments need to be voided and reissued or escheated to the respective state./liliDevelop, train and coach staff and contractor resources to ensure optimal performance and success across the team./liliContinuous review of the processes and tools; recommend and implement changes to keep up with business and stakeholder needs./liliServe as point of escalation as needed./liliProvide real-time feedback to staff to ensure optimal performance and success across the team/liliAssist with 1099 reviews and process./liliSpecial projects as needed./li/ulpEducation Certificates/pulliBachelors degree preferred, or equivalent years of relevant experience required./li/ulstrongProfessional Experience/strongulliMinimum 4 years of experience in an Accounting environment, with some supervisory experience a plus/li/ulstrongCompetencies Attributes/strongulliAbility to supervise a team in a fast paced, competing priority, high volume and deadline driven environment/liliExcellent communication, organization, time management skills, with a demonstrated track record in process improvement (idea generation and implementation)/liliStrong attention to detail/liliProactive and able to independently anticipate issues and solve problems/liliExceptional customer service, ability to provide accurate and timely support for internal and external stakeholders/liliStrong working knowledge of PeopleSoft, Service Now, Appian, and Microsoft Suite, preferred/liliPrevious experience with 1099, 1042, FATCA and Sales Use tax reporting, a plus/li/ulstrongBenefits/Compensation/strongpThe compensation range for this role is specific to Washington, DC and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications. The anticipated base salary range for this role is $90,000 to $100,000. In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs. Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
