Benesch is a national law firm with a Columbus, Ohio office that offers a hybrid schedule and remote work flexibility. The Office Administrator will oversee the administration of the Columbus satellite office, supporting 75+ personnel and ensuring efficient operations. Essential Functions Staff the Columbus location and assign duties to optimize efficient and effective support of all timekeeper/client needs. Maintain and promote efficient, productive, and harmonious work environments through a consistent, hands‑on approach. Provide training needs for all personnel and cross‑train support staff as needed. Coordinate the scheduling of all support staff in the assigned location in accordance with Firm needs. Oversee the efficient and effective operations of legal assistants and reception as applicable. Maintain a strong understanding of Firm software systems. Prepare and provide input for the annual office operations budget for the assigned office location and submit for approval by the Director of Practice Support. Plan and implement office events including holiday parties, luncheons, summer events, etc. Analyze and review financial operations of the assigned office location, ensuring costs are managed within the budget plan. Work directly with the Firm's Director of Practice Support while proactively exercising authority in staff personnel matters, employment, training, evaluating, disciplining, and discharging of staff. Monitor and manage performance standards of the staff, providing timely performance feedback consistent with the Firm's performance management process, escalating performance concerns, and providing coaching to address skill or performance gaps. Recommend compensation and staff bonuses to the Director of Practice Support based on merit within budget guidelines. Maintain all personnel availability and advise others of absences—planned or unplanned. Maintain ADP for non‑exempt employees and process PTO request approvals. Proactively provide for office location facility needs, working through appropriate parties as required. Work with the Legal Recruiting Department as needed. Assist in coordinating the support staff hiring process from assessment through orientation as required. Additional Responsibilities Work with Firm personnel and management in planning, implementing, and assessing local needs and projects, such as coordinating client development efforts, coordinating the orientation program for new legal recruits, and participating on long‑range planning committees and efforts. In the absence of the Receptionist, answer the main office line, greet and assist guests. If EPIQ is on location, ensure reception is covered by EPIQ or other office staff. Assist other offices with general operations and specific timekeeper workload needs, including backup/overflow legal assistant assistance and onsite support as required. Oversee the maintenance of office and kitchen supply inventories in a proactive and organized manner, purchase food, beverages, and snacks for the office, and ensure related inventory and costs are managed appropriately. Coordinate the maintenance and housekeeping of facility areas, including but not limited to the kitchen, meeting rooms, and common areas. Act as a liaison between legal personnel, staff, and clients. Perform other functions and duties as assigned. Qualifications A Bachelor's Degree is preferred. Minimum five years of experience as an office administrator, preferably in a law firm. Strong understanding of human resource functions, recruiting, staff development, and financial operations. Experience creating and managing a budget process, excellent management skills, and a highly effective communicator. Proficiency in Word, Outlook, and related law firm software.
