Human Resources Coordinator

ROLE
The Human Resources Coordinator supports various HR functions within the Project HR team, in the areas of onboarding/offboarding, employee lifecycle documentation, training & development, employee support, reporting, HRIS implementation, and other areas as needed. This position requires highly accurate and detailed acumen, high standard of confidentiality, and strong understanding of the employee lifecycle.

KEY RESPONSIBILITIES

• Prepare employment contracts for a variety of employment types and independent contractors.
• Coordinate onboarding for new employees including preparing onboarding materials, pre-employment testing, arranging new hire and safety orientation, and completion of new hire paperwork.
• Provide support to employees for general inquiries and workplace concerns.
• Prepare various types of employment change letters.
• Coordination, as required, of employee travel and accommodation.
• Support the administration of the drug and alcohol program.
• Liaise with payroll administrators and project leaders to deploy appropriate documentation.
• Maintain filing system for employee files and correspondence in a highly confidential manner.
• Support the implementation and coordination of various HR programs/initiatives.
• Complete administrative tasks upon request in a timely efficient manner.
• Interface with personnel of all levels in a professional manner.
• Collaborate with other departments as necessary to accomplish company & project goals.
• Assist in ad-hoc HR projects.

Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the company.

POSITION REQUIREMENTS
Qualifications

• Post-secondary degree or diploma in a related field or,
• Have been in a similar or relevant position for a minimum of 3 - 5 years.

Experience

• Experience working in a construction or industrial project environment.
• Experience preparing employment contracts and various employment change letters.
• Experience providing support for HRIS (HR System) implementation is considered an asset.
• Experience working within a HRIS (HR) system.
• Experience working in a highly confidential role.

Skills and Knowledge

• Proficient in using MS Office Suite (Word, Excel, Outlook, PowerPoint).
• Excellent written and verbal communication in an HR appropriate manner.
• Proven ability to handle and prioritize multiple tasks in a very busy environment.
• Understanding of provincial labour standards and Occupation Health and Safety legislation.
• Understanding of HR practices and concepts.
• Flexible to meet and adapt to constantly changing demands of the workplace.
• Powerful organizational skills with a very high standard of attention to detail.
• Knowledge of The Privacy Act with the ability to handle confidential & sensitive information appropriately.
• Strong understanding of employee lifecycle and corresponding documentation.
• Results-driven professional who takes complete ownership of their tasks and drives them to completion.
• Highly self-motivated and comfortable working independently to get things done, while following operational boundaries.
• Should be comfortable working in a high energy/fast-paced industrial environment.

WORKING CONDITIONS
This temporary position will primarily work at our office located in Spruce Grove, Alberta. Flexibility and travel to project sites and other locations is required from time to time.

REPORTING RELATIONSHIPS
The Human Resources Coordinator reports to the Human Resources Lead Infrastructure – Projects.
