Under the Director's direction, you'll help keep the department running smoothly — supporting students, faculty, and staff while managing day-to-day operations, including purchasing, budget tracking, software licensing, and general office coordination. If you're organized, dependable, and enjoy working in a collaborative academic environment, we'd love to hear from you.Minimum Qualifications:High school diploma or equivalent2 years of administrative, clerical, or office support experienceProficiency with Microsoft Office and Google WorkspaceStrong written and verbal communication skillsExcellent organizational skills, accuracy, and attention to detailAbility to manage multiple priorities and meet deadlinesDemonstrated customer service skills and professionalismAbility to work both independently and as part of a teamPreferred Qualifications:Experience with Workday or other enterprise softwareFamiliarity with Canvas or other learning management systemsExperience with purchasing or procurement processesExperience in budgets and financial tracking spreadsheetsBilingual in English and SpanishEssential Duties and Responsibilities:Provide administrative support to the Director and WebCollege staff, including scheduling meetings, preparing agendas, recording minutes, and coordinating logisticsServe as a point of contact for departmental inquiries via phone, email, and in personCoordinate daily office operations and help develop and maintain procedures that support efficient workflowDevelop and maintain spreadsheets, databases, and tracking systems for departmental operations and reportingCoordinate purchasing activities, including preparing requisitions, processing invoices, reconciling receipts, and maintaining records in compliance with college purchasing proceduresMonitor departmental budgets and maintain expenditure tracking reportsManage software subscriptions, licensing agreements, and maintenance contracts; coordinate with vendors on renewals, quotes, and billing issues; and proactively notify leadership of upcoming deadlinesAssist with planning faculty professional development workshops, training sessions, and special eventsMaintain confidentiality of sensitive information and handle departmental records with sound judgmentPerform other duties as assignedKnowledge, Skills, and Abilities:Knowledge of general office administration and business proceduresProficiency in Microsoft Office, particularly Excel, and Google WorkspaceAbility to interpret and follow administrative policies and proceduresAbility to communicate effectively with a diverse range of stakeholders, including faculty, staff, students, and vendorsAbility to establish priorities, meet deadlines, and adapt to changing needsPhysical Requirements:Ability to sit, stand, and walk for extended periodsFrequent use of computers and office equipmentAbility to lift and carry up to 25 poundsCompensation & Schedule:This is a part-time, hourly position paying $20-$21 an hour, generally 19 hours per week.
