Dispatch Supervisor

Job Description

Dispatch Supervisor is responsible for overseeing the dispatch operations, ensuring efficient and timely coordination of resources, and managing a team of dispatchers. Coordinates schedules, assigns tasks, and monitors performance to ensure service level agreements are met. Provides leadership, guidance, and support to the dispatch team to ensure smooth operations and customer satisfaction.

• Supervises and coordinates Dispatchers responsible for accurate order taking, timely delivery and excellent customer service.

• Participates in the recruitment process which may include screening and hiring employees.

• Schedules dispatch staff and trucking to support daily, weekly and monthly sales forecast to meet customer's needs.

• Individual provides training, coaching and disciplinary counseling to employees under their area of responsibility.

• Identify training needs to address dispatch and customer service issues.

• Supervises, attracts, retains, and motivates staff.

• Responsible for resolving conflicts involving dispatchers, customers, and sales department.

• Performs and coordinates job site activities acting as a liaison between customers, haulers, sales and dispatch.

• Works closely with sales and dispatch to enhance our service to customers and to maximize job site trucking efficiency, including standby mitigation.

• Attends pre-job meetings with Sales, Technical Services and customers to discuss the project and customer's needs, and to ensure that potential problems are identified and properly mitigated or managed. Will also perform job site service/project management while the job ships.

• Approves time cards, authorizes and maintain dispatcher schedules and tracks vacation usage.

• Oversees scheduling of the company fleet and external haulers.

• Manages the day to day interaction with the independent haulers.

• Review daily order entry for completeness and accuracy.

• Schedule and assign employee's work based on production needs (manpower planning).

• Works closely with inside and outside sales personnel on value drivers and issues impacting customer satisfaction.

• Administers and enforces Company and Area policies and procedures.

• Works with SHE department and Company officials to promote a safe work environment that meets all State and Federal rules and regulations and ensures that the plant meets all SHE policies and practices at the site location.

• Attend meetings with other departments, including Sales, Quality Control, Operations, and Fleet Maintenance.

• Assists accounts receivable in investigating disputed invoices, stand-by time, missing tickets, and missing ticket times.

• Communicates driver performance, attendance and customer service issues to Manager- Transportation Service or Manager- Logistics.

• Reviews, approves and maintains daily reports.

• Other duties may be assigned as required.

• Planning and Scheduling - Effective planning of repair procedures, scheduling work considering resource availability, and maintaining necessary inventory.

• BS/BA in business administration, logistics, construction management or related degree is desirable or an equivalent combination of training and work experience.

• Minimum of three (3) years work experience in construction materials or related industry. Previous supervisory, customer service and logistics experience is also required.

• Good understanding of the aggregate and asphalt business functions as well as key drivers for sales, logistics and customer satisfaction.

• Independent contractor management.

• Knowledge of environmental and safety regulations in trucking and terminal operations.

• Knowledge of construction industry to include materials and project management.

• Ability to develop creative solutions to address issues customer service, logistics and job site issues/concerns.

• Excellent interpersonal skills with the ability to effectively interact with all levels of the organization.

• Business planning skills.

• Able to effectively multi-task faced paced environment.

• Work under general direction and meet deadlines.

• Knowledge of personal computers and effectively use applications.

• Knowledge and understanding of modern principles and practices of supervising production employees.

• Knowledge and understanding of a plant operation (aggregate, asphalt, ready mix, sales yard).

• Understand, interpret, and apply policies and procedures.

• Knowledge and understanding of D.O.T, OSHA and MSHA rules and regulations.

• Effectively motivate and reward employees.

• Develop and establish performance measurements for department.

• Establish practices and develop resources to meet or exceed goals and objectives.

• Must be able to drive a pick-up truck on a daily basis.

• Ability to use computerized equipment and technology.

• Work environment will be both indoors in an office and outside in the quarry or plant. In the office employee will occasionally be required to sit at a desk or operator's station. In the outside setting employee will perform activities in unprotected heights, around moving machinery, be exposed to dust, fumes and gases; may be required to use hand tools or power tools. Outside setting will expose employee to changes in temperature/humidity and will require walking on uneven surfaces.

• Must be able to wear required personal protective equipment (PPE).

• Ability to work in a stressful, deadline oriented environment that requires complex, technical information and decision making. Must be able to present complex information in a clear and concise manner.

• Able to work varying work schedule.
