Administrative Assistant I- Traffic Safety (Part-Time)

Description This position requires significant interactions with internal and external stakeholders such as MATC Traffic Safety Department administrative staff, part-time instructors, and other college departments along with state and local government program administrators including Wisconsin Department of Transportation (WDOT), Division of Motor Vehicles (DMV), and southeast Wisconsin Alcohol and Other Drug Abuse Assessment Agencies. Treats all student, employee, and stakeholder information in a confidential and respectful manner. The Administrative Assistant I provides essential support by managing front desk operations, greeting visitors, answering phone calls, and performing a variety of clerical and administrative duties to support the department. The role involves data entry, maintaining filing systems, coordinating meetings, and supporting day-to-day office operations. This position plays a key role in supporting the team’s needs, ensuring a productive and organized work environment. Key Responsibilities Reception and Customer Service: Perform front desk operations, greet and assist visitors, answer and direct incoming calls, take messages, and ensure timely follow‑up. Manage office deliveries and mail distribution. Administrative Support: Manage filing systems, complete data entry and photocopying, assist in preparing documents, reports, and correspondence. Schedule appointments, meetings, and conference room reservations. Provide support to staff and management. Maintain Office and Supplies: Keep the office clean, organized, and functional. Perform inventory of office supplies and request orders as needed. Ethics and Confidentiality: Demonstrate honesty, moral and ethical principles, and handle all student and employee behavior confidentially and respectfully. Collaborative Teamwork: Establish and maintain positive work relationships with students, staff, faculty, and administrators. Continuous Learning & Professional Development: Stay informed on emerging technology trends and common user issues in higher education, especially community colleges. Participate in relevant training, workshops, seminars, committees, and professional associations. Other Duties: Perform any other related duties required for efficient operation of the division and support institutional objectives. Qualifications Compliance with all state, federal, and accreditation standards and MATC policies and procedures. Minimum Qualifications High school diploma or equivalent and a minimum of six (6) months of office experience, preferably in a field related to the transportation industry. Candidate must be able to pass WDOT and DMV standard screenings. Required Skills and Competencies Excellent communication and interpersonal skills, strong organizational skills. Ability to understand, interpret and explain rules, regulations, procedures, and written and oral instructions. Effective oral and written communication. Ability to establish, collaborate and maintain effective work relationships with peers, students, teachers, staff, representatives of outside agencies, educational institutions, and the general public. Convey professionalism and dedication in work activities. Work with culturally diverse student and employee populations and promote a positive work environment. Proficiency in computers and software specific to position, including Google Suite. Work successfully with minimal supervision as an individual and team contributor. Establish workflows, manage multiple projects, and meet deadlines. Work Hours and Location Part‑time, 100% on‑site position (19 hours per week) year‑round, based in Milwaukee Downtown. Approximately four hours a day, five days a week, during normal business hours (8 am – 4:30 pm). All work performed in the State of Wisconsin; working outside the state is strictly prohibited. Compensation Hourly pay rates are listed up to the midpoint of the range.
