Description

This role combines purchasing, administrative, and accounting support within a manufacturing environment.

The position supports:

• Procurement & vendor coordination
• Office operations and documentation
• Timekeeping and reporting within QuickBooks

The individual must be comfortable wearing multiple hats and supporting multiple stakeholders simultaneously. (Legacy Air...Recording | Video)

Daily Responsibilities

Purchasing / Supply Chain

• Create and manage purchase orders (POs)
• Source materials and communicate with vendors
• Request quotes, track orders, and follow up with suppliers
• Support receiving and shipping coordination

Sales Order & Admin Support

• Open and manage sales orders
• Assemble and organize work orders
• Maintain documentation (scanning, filing, etc.)

Accounting / System Responsibilities

Utilize QuickBooks for:

• PO and sales order tracking
• Basic accounting workflow support

• Assist with transition into JobBoss (ERP system)

Potential for dual entry between QuickBooks and JobBoss during implementation phase (Legacy Air...Recording | Video)

Timekeeping & Reporting:

• Enter daily timesheets for production employees
• Support payroll data accuracy (under manager oversight)
• Run reports and maintain data tracking

Data & Excel Tracking

Maintain multiple spreadsheets for:

Inventory tracking

Parts and materials

Due dates and job status

Provide reporting to leadership and operations

Additional Skills & Qualifications

2–4+ years of experience in a hybrid administrative, purchasing, or accounting support role

Hands-on experience with purchase orders, vendor communication, and administrative workflow coordination

Prior experience using QuickBooks or similar accounting software strongly preferred

This is a Contract to Hire position based out of Van Nuys, CA.

The pay range for this position is $25.00 - $30.00/hr.

This is a fully onsite position in Van Nuys,CA.
