Job Title Office Associate Job Grade AB13H Division Academic Affairs College/Dept College of Education, Health and Human Sciences Department Teacher Education Requisition Number 2026-00230 FTE (full-time equivalency) 100% Work Schedule M-F 8-5 / varies Remote/Telecommuting No remote/telecommute opportunity Appointment Term 12-12/12 months Inclement Weather Policy No Pay Information commensurate with experience Pay Schedule Hourly FLSA Designation Non-Exempt Position Summary The Office Associate is a critical staff position that serves as the primary administrative and fiscal support for both Educational Leadership and Teacher Education, enabling faculty to effectively carry out teaching, research, clinical, and service responsibilities. This role oversees daily operations across two departments, including departmental budgets, purchasing, human resources processes, faculty travel, UNO Courseleaf & Canvas that are essential to the academic mission. The College of Education, Health, and Human Sciences at the University of Nebraska at Omaha invites applications for an office associate to provide complex and responsible administrative support to across two departments (Teacher Education and Educational Leadership). This position requires independent judgment; ability to prepare documents with minimal instruction; make decisions based on broad general guidelines related to day to day operations; maintain and monitor department purchasing, personnel and student payroll records; coordinating travel, and TED / EDL department events, provide backup across CEHHS departments and other responsibilities as assigned. Job Duties Administrative Support Provide administrative support for 20 TED / EDL faculty members and 2 instructional coaches who teach traditional and distance education courses: issue permits, triage questions and create reporting documents as needed. Act as liaison with faculty, students, and other colleagues and departments; and produce faculty schedule of courses, maintain office hours for department. Work closely with department Chair(s) to process contracts and payroll documents for PT Adjunct faculty, fall, spring, summer, process new hire Adjuncts. Percentage Of Time: 30% Textbooks & Department Purchasing Coordinate textbook orders, student packets, and desk copy orders for traditional and distance education courses. Order and maintain inventory of departmental supplies; complete purchase requests as needed for supplies from outside vendors. Manage department purchasing, assess impacts on departmental budgets, report out to Chairs. Percentage Of Time: 20% Student Resource & Maintain Student Databases Manage student doctoral paperwork and student process communication. Coordinate independent study courses: maintain database of students and faculty involved; enter permits as requested; coordinate forms needed, obtaining signatures of student, faculty, and department chair; post grades at completion. Assist with enrollment of students on special courses. Maintain department master traditional and distance education course syllabus electronically using UNO’s Course Catalog Maintenance System; distribute to faculty and students as requested. Assist full and part-time faculty with submission of grades as needed: documenting low grades or incompletes; compile report for Student Services Office; assist with Change of Grade forms as needed and monitor on-going incomplete grades and communicate with Faculty. Act as a resource for students, FT and PT faculty on a variety of form completion, compilation, and textbook ordering. Percentage Of Time: 25% Special Events Coordination Provide support for special programs: METLINK conferences; EUREKA; Midwestern TESOL, EDL Fall Leadership Dinner etc., assist with event registration. Coordinate catering for departmental events and various meetings as needed. Assist with travel for faculty, departmental visitors, faculty searches. Supervision of student employees. Percentage Of Time: 20% Other Duties Other duties as assigned across CEHHS departments as needed. Percentage Of Time: 5% Required and Preferred Qualifications Required Education High School Diploma or equivalent. Required Experience Two years of office experience or equivalent, basic knowledge of Microsoft office, particularly Word, proficient at keyboarding.
