Service Administrator

Job Summary The Service Administrator position provides administrative and customer service support to Customer Service Center(s). Responsibilities Answer incoming phone calls and direct calls to the appropriate party. Handle general customer inquiries, such as invoices, billing questions, and product information. Collect on past due invoices. Input billing data. Generate and complete quality work orders. Complete inter-division billing (installation, intra-shop transfers & warranty). Input, track, and verify commissions using the Quarterly Commission Report. Utilize and print the Open Order Report on a weekly basis. Schedule technicians from the Open Order Report. Review and process Accounts Payable invoices. Use the Metrix software to open, process, and complete orders. Type correspondence for the Area Sales Manager(s). Order all publications, literature, and office supplies; maintain inventory of literature. Manage parts inventory, including maintaining the order log, pricing/ordering parts, and working with vendors. Maintain the quotation log for the Customer Support Center. Maintain current driver qualification files for DOT requirements. Other duties as assigned. Required Qualifications High school diploma or equivalent. At least one year of directly related work experience. Knowledge, Skills & Abilities Proficient with Microsoft Office products (Excel, Word, Outlook). Critical thinking and exceptional attention to detail. Excellent problem-solving skills. Excellent verbal and written communication skills. Ability to effectively organize and prioritize work and manage multiple tasks simultaneously. Ability to develop and maintain business relationships. Work Environment General office conditions; exposure to moderate noise levels. Physical Abilities Require close vision and focus. Regularly required to talk and hear; frequently required to sit, stand, bend at the knee and waist, and walk. Must perform repetitive wrist, hand and/or finger movements to type and work on computer. Must have finger dexterity and hand-eye coordination to work on computer, telephone, and related office equipment. Regular attendance is a necessary and essential function.
