Orthodontic Lab Office Manager / Admin (Part‑Time, In‑Person)

 
Schedule: Monday–Thursday (hours flexible, e.g., 9 AM–3 PM)
Location: Bay Area, CA
Position Type: Part‑Time, In‑Person

We are an established orthodontic lab seeking a highly organized, reliable, and friendly Office Manager/Admin to support our daily operations. This role blends administrative work, customer communication, and hands‑on coordination of lab cases.

Key Responsibilities: 
Invoicing & Case Management: 

• Create and send invoices for lab orders
• Track incoming and outgoing cases
• Organize completed cases daily for delivery or pickup
• Ensure accurate labeling, documentation, and timely dispatch

Front Office & Reception: 

• Greet visitors and answer incoming phone calls
• Serve as the first point of contact for dental offices
• Maintain a clean, organized front desk and packing area

Email & Communication: 

• Respond to emails from dental offices promptly and professionally
• Provide updates on case status, turnaround times, and scheduling
• Coordinate with the lab team to relay important information

General Office Support: 

• Maintain office supplies and inventory
• Assist with scheduling, filing, and basic administrative tasks
• Support smooth daily workflow across the lab

Requirements: 

• Strong communication skills (phone + email)
• Excellent organization and attention to detail
• Ability to multitask in a fast‑paced environment
• Basic computer skills (invoicing software experience is a plus)
• Friendly, professional, and dependable
• Dental or orthodontic experience is helpful but not required —we will train the right person
