Client Account Representative Team Lead

Position at a Glance

Department: Finance

Supervisory Chain of Command:

  • Direct Supervisor: Client Accounts Manager
  • Tertiary Supervisor: Chief Financial Officer
  • Chief-Level Supervisor: Chief Financial Officer

Supervises: Client Account Representative, Payment Processor

Acts as the immediate supervisor for all Client Account Representatives as well as the Payment Processor documenting concerns and providing training to new hires as needed. Takes a leadership role in the department and assists the Client Accounts Manager with projects as needed.

Responsibilities and Qualifications

Essential Responsibilities :

  1. Supervise and evaluate a qualified staff and ensure they are trained to carry out their responsibilities. Monitor performance, document concerns, and provide feedback and take corrective action as necessary.
  2. Retrieve Explanation of Benefits (EOB) from electronic shared file and apply outcomes to client accounts within 5 days of receipt by agency.
  3. Research and answer client and payer source inquiries. Provide supporting documentation as allowed by privacy regulations upon request.
  4. Followup on unpaid insurance claims in a timely manner until claim is paid or only self-pay balance remains.
  5. Follow agency collection procedures for mailing statements.
  6. Review and approve adjustments to accounts.
  7. Monitor the percentages of aged accounts and take appropriate action.
  8. Work the aging of accounts report and reconcile billing charts monthly.
  9. Present problem/delinquent accounts to supervisor as needed.
  10. Remain knowledgeable regarding billing procedures and regulations for payers.
  11. Attend staff meetings and provide constructive input.
  12. Serve on committees and work groups as requested.
  13. Maintain and advance knowledge and skills related to field of work through regular review of pertinent materials and attendance at training events.
  14. Adhere to the standards, policies and instructions established by PMHS Policy and Procedure and any applicable ethical codes within field of employment.
  15. Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  16. May be required to prepare and submit accurate and timely claims to third party insurance carries electronically.
  17. May be required to scan EOBs into electronic shared file.
  18. Work with Client Account Manager on CCBHC system set-up, reporting, and compliance.
  19. Perform other reasonably related duties as assigned by supervisor or other management personnel.

Requirements

Qualifications :

Required :

  • High School diploma or equivalent.
  • One year of medical office billing or comparable administrative experience.
  • Basic personal computer skills.
  • Strong oral and written communication skills using the English language.
  • Ability to operate and assist with maintaining office equipment such as a postage machine, copier/scanner/fax machine, and folding machine.

Preferred :

  • Experience with Microsoft Office, especially Microsoft Excel.
  • Strong organizational skills.

All employees will be required to submit to and pass a background check and drug screening.
