Provides comprehensive financial, vendor, and administrative support to ensure efficient daily business operations. This role is responsible for processing accounts payable and receivable transactions, maintaining accurate financial records, managing vendor relationships and contracts, and ensuring timely payment processing. Additionally, the position serves as a primary administrative resource, managing correspondence, maintaining records and files, preparing reports and informational packets, and facilitating communication among departments, vendors, and executive management.
ESSENTIAL FUNCTIONS
- Enter and code outstanding invoices to be paid (incl. allocation to affiliates if necessary).
- Research, communicate, and resolve differences in accounts payable records and invoices.
- Ensure necessary authorizations have been received prior to payment disbursement.
- Maintain ACH information for proper electronic payment of invoices and employee reimbursement
- Monitor and review data entry of employee expense reimbursement reports.
- Process timely payments of all invoices and employee expense reimbursement reports per internal guidelines.
- Process year-end 1099 NEC / Misc. Forms.
- Calculate, and report to state and local agencies sales and use tax information.
- Coordinate onboarding of new vendors, including due diligence documentation collection (SOC reports, financial statements, insurance, W-9s).
- Track and manage contract renewals, expirations, and termination processes.
- Assist in performing initial and ongoing vendor risk assessments.
- Maintain vendor management software and facilitate automated communications with contract collaborators.
- Maintain policies, procedures, and process documentation related to vendor management and ensure vendor management practices align with regulatory guidance.
- Support internal and external audits, regulatory exams, and compliance reviews.
- Prepare management report requests and distribute as necessary.
- Act as a secretary to the ALCO committee; record and prepare minutes.
- Compile various ALCO reports and complete preparation of meeting packets.
- Reconcile various bank and general ledger accounts.
- Assist with audits by providing vendor documentation.
- Backup other accounting functions as needed.
Minimum Qualifications :
The successful candidate will be placed in the I, II, or III level that best aligns with their education, experience and qualifications.
- To qualify for an Accounting Clerk I: Completed course work with an accounting emphasis or 1 year or experience equivalent preferred.
- To qualify for an Accounting Clerk II: Completed course work with accounting emphasis or 1-3 years' experience equivalent.
- To qualify for an Accounting Clerk III: 2-year degree with accounting emphasis or 3-5 years' experience equivalent.
A qualified Accounting Clerk candidate will possess the following skills and abilities:
- Math proficiency and aptitude.
- General areas of competency: decision making, dependability, development, environmental safety, evaluation skills, interpersonal skills, prioritizing, problem solving, team skills and time management.
- Demonstrated record of achievement in social and/or extracurricular and leadership skills.
- Demonstrated aptitude to handle sensitive operational transactions.
- Professional appearance.
- Effective oral and written communication skills (including telephone).
- Self-sufficient/self-starting.
- Ability to adjust to flexible hours.
- PC experience required.
- Microsoft Word and Excel experience.
- Must be capable of working with and maintaining the confidentiality of sensitive information.
Physical Requirements:
Light Work - exerting up to 20 pounds of force occasionally, and/up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
