This position will also receive calls at the dealership, determines the nature of their business, and directs callers to their destination. This includes answering basic inquiries, routes incoming calls, takes messages, and provides basic information to all callers.Essential Duties and ResponsibilitiesCustomer Service Tasks:Operates a multi-line phone system answering incoming phone calls for the dealership.Answers all incoming calls in a prompt, polite, professional manner, transferring them to the appropriate person or department quickly.Provides voice mail for callers if employee cannot be reached. Takes detailed messages when voice mail is not taken by caller and delivers message to appropriate party in a timely manner.Maintains a personal demeanor consistent with Company culture, contributing a positive, supportive work environment for all team members.Administrative Tasks:Break down all deals turned in from F&I office Put finance package together to mail to finance company; Quick Fund deals as applicableIf applicable to deal; create trade in deal jacket, make payoff check to lienholder as needed, file trade title and/or follow up on title/lien releaseFile Notice of Sale on each retail dealTitle Clerk Duties Maintain all MSOs/TitlesFollow-up on all used titles/lien releases as neededPrepare MSO’s/Titles to be sent to DOR office or customer for sold unitsFile Notice of Liens for all required dealsCheck in Keys of New received vehicles for inventoryTag keys and give to Sales ManagerIssues and tracks dealer plates & gas card for the sales department. Ensures Loaner Agreements are accurate and legible as needed for checked out platesScans all completed deal packets to be uploaded, indexed, and verified for accuracy to scan site.Stocking in all incoming vehicle units, creating unit folders for each and ensuring all crucial documents are received (i.e. MSO/title, lien release, key documentation, etc.)Scans all retail and wholesale deals onto Dealership scan site.Keeps a detailed log of all GAP purchases.Sends all cancellations for GAP into the manufacturer for payment.Performs all other duties as assigned.Qualifications/RequirementsMust have exceptional customer service skills.Must have excellent phone etiquette.Must have excellent verbal and written communication skills.Must be punctual, dependable and reliable.Must have strong computer aptitude, specifically with Microsoft Word and Excel.Must have the ability to multi-task in a fast-paced environment.Must possess strong organizational skills.Must have the ability to work independently on assigned tasks as well as to accept direction on given assignments.We are an equal opportunity employer.
