Key Personnel is seeking a Patient Registration / Front Office Specialist to join a professional healthcare practice in the Tulsa, OK area.

Patient Registration / Front Office Specialist Pay: $19.00/hour

Patient Registration / Front Office Specialist Hours: Monday - Friday | 8:00 AM - 5:00 PM | Full-Time

Patient Registration / Front Office Specialist Summary:

The Patient Registration / Front Office Specialist is responsible for providing a welcoming and professional first point of contact for patients and visitors while ensuring a smooth and efficient check-in and check-out process. This position will assist with patient registration, insurance and identification verification, payment collection, appointment scheduling, telephone inquiries, and updating patient records. The ideal candidate will be organized, dependable, courteous, and able to remain calm and professional while managing multiple priorities in a busy medical office.

• Review the following day's appointments and identify insurance verification status, required paperwork, and outstanding patient payments.
• Welcome patients, family members, visitors, and guests in a friendly and professional manner.
• Assist patients with check-in and sign-in procedures.
• Provide new and established patients with appropriate registration and account update paperwork.
• Collect, copy, and scan patient identification and insurance information.
• Collect co-payments, co-insurance, and outstanding balances in accordance with office procedures.
• Follow established procedures for accurately handling and documenting patient payments.
• Update patient demographic, insurance, and account information within the medical office system.
• Notify clinical staff when patients are ready for triage.
• Answer patient questions and address concerns regarding wait times, scheduling conflicts, and office procedures.
• Answer and route telephone calls appropriately while providing courteous and professional customer service.
• Schedule follow-up and return appointments and provide patients with appointment reminder information.
• Complete patient check-out procedures and collect payments when required.
• Maintain patient confidentiality and comply with HIPAA, healthcare regulations, and organizational policies.
• Maintain an organized, clean, and welcoming reception area.
• Monitor office supply needs and communicate requests to the appropriate supervisor.
• Assist with general administrative and front office duties as assigned.
• Occasionally assist at other office locations as needed.

• High school diploma or equivalent required.
• Previous medical office, healthcare, reception, or customer service experience preferred.
• Medical training or medical office certification is helpful but not required.
• Excellent verbal and written communication skills.
• Professional, courteous, and compassionate approach when interacting with patients, families, visitors, and staff.
• Ability to handle patient concerns calmly and professionally.
• Strong organizational skills and attention to detail.
• Ability to multitask and prioritize responsibilities in a fast-paced medical office.
• Basic typing and computer skills.
• Ability to learn and effectively use medical software and electronic patient record systems.
• Ability to understand and follow written and verbal instructions.
• Ability to maintain patient confidentiality and follow HIPAA requirements.

• Work is performed primarily in a professional medical office environment.
• Ability to stand, sit, walk, bend, stoop, and reach throughout the workday.
• Ability to remain at a workstation for extended periods.
• Ability to lift, carry, or maneuver items weighing up to 20 pounds as needed.
• Ability to reach files or materials above shoulder height.
• Must be able to work effectively in an environment with moderate noise and frequent interaction with patients and staff.
• Occasional evening or weekend work may be required based on business needs.
• Occasional travel between office locations may be required to provide coverage or retrieve necessary materials.
