Job Summary

Provides administrative and technical support to the Proposal Services unit in coordinating and facilitating the development and submission of sponsored research proposals. Works closely with faculty and research staff to ensure proposals are complete, accurate, and compliant with sponsor guidelines and institutional policies. Supports high-volume proposal activity and contributes to the efficient management of pre-award processes.

• Provides support to the unit in coordinating proposal submissions, ensuring completeness, accuracy, and compliance with sponsor and institutional requirements.
• Assists in preparing, reviewing, and compiling proposal documents, including budgets, budget justifications, and required administrative forms. Gathers, organizes and uploads supporting documentation for submission through sponsor systems (e.g., Grants.gov, Research.gov, eRA Commons or other portals).
• Supports tracking of proposal submissions, deadlines, and related documentation. Assists in generating reports and maintaining records for internal and sponsor reporting needs.
• Verifies Current and Pending (Other Support) information for completeness and compliance with sponsor requirements, ensuring alignment with institutional disclosures and federal guidelines.
• Provides assistance with Just-In-Time (JIT) requests, including collecting and reviewing required documentation such as Other Support, certifications, and compliance-related materials to ensure timely and accurate submission.
• Reviews progress report components for consistency with awarded project terms, including alignment with scope of work, budget, and prior submissions

Minimum Qualifications

• High school diploma and seven (7) years of experience of administration, business, and/or finance related experience.

Desired Qualifications

• Familiarity with federal sponsors (e.g., NIH, NSF, DOE).
