Location: Alameda, CA — Onsite
Contract: 6 Months
Schedule: Monday–Friday, 8:00 AM–5:00 PM

Job Description

We are seeking a highly organized and proactive Senior Project Coordinator to support regulatory and compliance-related project initiatives in a fast-paced, cross-functional environment.

The Senior Project Coordinator will help keep projects on track by coordinating activities, following up on deliverables, facilitating meetings, maintaining project documentation, and supporting communication among project teams, stakeholders, and business partners.

The ideal candidate is detail-oriented, adaptable, eager to learn, and comfortable managing multiple priorities across several projects.

Key Responsibilities

• Track and monitor project activities, milestones, deliverables, schedules, and deadlines.
• Follow up with project team members and stakeholders to ensure timely completion of action items.
• Maintain project plans, status trackers, and project documentation.
• Track project risks, dependencies, issues, and action items and escalate concerns as appropriate.
• Coordinate and facilitate cross-functional project meetings.
• Prepare meeting agendas, notes, action items, status updates, and follow-up communications.
• Support project status reports, dashboards, and executive summaries.
• Coordinate communication among project teams, stakeholders, and business partners.
• Provide administrative and operational support for regulatory and compliance-related initiatives.
• Assist with projects driven by regulatory or compliance requirements, including initiatives related to international regulatory changes.
• Support project teams in maintaining alignment with priorities, deliverables, and timelines.

Required Qualifications

• Bachelor's degree in Business Administration, Project Management, Information Systems, or a related field preferred , or equivalent work experience.
• 2+ years of experience in project coordination, project management support, or program support.
• Experience coordinating multiple projects or initiatives simultaneously.
• Experience working in a cross-functional environment.
• Strong organizational, communication, documentation, and follow-up skills.
• Experience tracking project schedules, action items, risks, and dependencies.
• Strong meeting coordination and facilitation skills.
• Proficiency with Microsoft Office Suite , including Excel, PowerPoint, and Teams.
• Experience with Microsoft Project or other project management tools .

Preferred Background

Experience supporting projects in a regulated or compliance-focused environment is highly valued. Background in areas such as:

• Medical devices
• Biopharmaceuticals
• Aerospace / aviation
• Nuclear
• Other highly regulated industries

Familiarity with FDA guidelines, EU MDR, or other regulatory requirements is a plus but is not required .
