FULL DESCRIPTION:   We are seeking an Admin/Receptionist to support front desk, phone, administrative, clerical, and general office functions. This role works with all branch departments to answer and dispatch calls, greet visitors, provide administrative support, complete data entry, maintain files, assist with mail distribution, and support sales, parts, and service departments as needed. The ideal candidate will have strong receptionist and administrative experience, bilingual Spanish skills, professional communication, and a friendly customer service mindset.

 

The selected candidate will be responsible for:

• Receiving visitors and directing them to the appropriate departments
• Answering telephone calls and dispatching calls to the proper departments
• Maintaining a professional and friendly front desk presence
• Recording standard accounts payable and accounts receivable entries on a daily and monthly basis
• Opening, sorting, and distributing incoming and interoffice mail to the proper departments
• Completing data entry as required
• Maintaining dealership and branch files
• Drafting and typing standard letters and memoranda as requested
• Preparing documents for distribution
• Providing administrative support to sales, parts, and service departments
• Ordering office supplies for the branch location as needed
• Communicating professionally with customers, vendors, employees, and managers
• Supporting daily office and branch administrative needs
• Performing other duties as assigned

 

The selected candidate will also possess:

• 2+ years of receptionist, phones, and administrative experience required
• Bilingual Spanish skills required
• Solid clerical skills
• General accounting knowledge preferred
• Strong people and communication skills
• Excellent organizational skills
• Microsoft Office experience required
• Outlook and Teams experience required
• High school diploma or equivalent experience required
• Professional, pleasant, and friendly demeanor
• Strong customer service mindset
• Ability to interact and cooperate with customers, employees, vendors, and managers in a professional manner
• Ability to maintain a professional appearance
• Ability to support company safety expectations and professional work habits
• Ability to work independently and as part of a team
• Strong attention to detail and accuracy
• Ability to work onsite in Long Beach, CA

 

Physical Requirements:

• Ability to sit and work at a computer for extended periods
• Ability to communicate by phone, email, Teams, and in person throughout the workday
• Ability to answer phones and greet visitors throughout the shift
• Ability to review documents, files, mail, accounting entries, reports, and computer screens for extended periods
• Ability to use hands and fingers for typing, data entry, filing, sorting mail, document preparation, and standard office tasks
• Ability to occasionally stand, walk, bend, reach, and move throughout the office or branch as needed
• Ability to occasionally lift, carry, or move standard office files, mail, documents, or supplies

 

Salary Range: $22 to $25/hour
