Maintenance Supervisor Full Time On Site Washington, DC, US 12 days ago Requisition ID: 1041 Salary Range: $28.00 To $32.00 Hourly Maintenance Supervisor Position Title: Maintenance Supervisor Reports To: Community Manager Work Arrangement: On-site. Regular, in-person attendance at the employee’s assigned community, office, or other designated Company location is an essential function of this position. This position is not eligible for a remote or hybrid work arrangement, except where otherwise required by applicable law or approved by the Company as a reasonable accommodation. Position Summary The Maintenance Supervisor is responsible for overseeing the maintenance, safety, appearance, and overall functionality of the community. This position evaluates a broad range of maintenance needs, directs the daily activities of the maintenance team, and ensures that resident service requests, preventive maintenance, apartment turns, emergency repairs, and community upkeep are completed efficiently and in accordance with Company standards. The Maintenance Supervisor maintains building systems and equipment, performs and delegates repairs, inspects completed work, coordinates vendors and contractors, manages maintenance supplies, and supports cost-control initiatives. This position is also responsible for ensuring that maintenance team members follow applicable safety requirements, Company procedures, and local, state, and federal codes. Maintenance Team Leadership & Oversight Direct, supervise, coach, and support maintenance team members. Plan, assign, prioritize, and monitor daily maintenance responsibilities. Match assignments to each team member’s skills, experience, and training. Establish clear performance, quality, productivity, and safety expectations. Inspect completed work to ensure repairs meet River View Residential standards. Provide regular performance feedback, coaching, training, and recognition. Address performance concerns, team member complaints, and operational issues promptly. Assist with interviewing, onboarding, training, evaluating, and disciplining maintenance team members in accordance with Company policies. Foster teamwork, accountability, professionalism, and continuous improvement. Communicate staffing, performance, and resource concerns to the Community Manager. Assist the Community Manager with scheduling maintenance team members according to community needs and business levels. Ensure appropriate maintenance coverage is available for emergency response 24 hours a day, seven days a week. Resident Service Requests & Repairs Oversee the timely completion of resident service requests. Establish and maintain an efficient process for receiving, assigning, tracking, completing, and closing work orders. Complete repairs personally or delegate assignments to qualified maintenance team members. Diagnose the source or cause of maintenance issues and determine the appropriate repair solution. Inspect completed service requests for quality, accuracy, cleanliness, and completeness. Ensure work-order details, labor, materials, repair notes, and completion information are accurately recorded in the property management system. Communicate repair delays, access concerns, material needs, and unresolved issues to the Community Manager. Maintain professional and respectful communication with residents regarding repair status and anticipated completion. Follow up on completed repairs when appropriate to support resident satisfaction. Ensure repairs are completed correctly the first time whenever reasonably possible. Building Systems & General Maintenance Oversee the operation, maintenance, and repair of community building systems and equipment. Diagnose and repair plumbing, electrical, HVAC, refrigeration, water-treatment, appliance, carpentry, drywall, painting, door, window, lock, and other building-related issues. Repair leaking or damaged plumbing to prevent water damage and restore proper operation. Diagnose electrical shortages, damaged wiring, fixtures, outlets, switches, and other electrical concerns within the scope of the position’s qualifications. Maintain HVAC equipment to support proper climate control and system performance. Perform appliance installation and repair. Complete basic carpentry, painting, sheetrock, and drywall repairs. Replace locks, keys, and related hardware as directed. Identify potential safety hazards and complete or coordinate appropriate corrective action. Apply preventive measures that reduce the likelihood of recurring maintenance problems. Coordinate specialized repairs with approved vendors when work exceeds the maintenance team’s qualifications, licensing, or available resources. Preventive Maintenance Develop, schedule, implement, and evaluate preventive maintenance programs. Maintain preventive maintenance schedules for building systems, equipment, amenities, and apartment homes. Ensure preventive maintenance tasks are assigned and completed within established timelines. Inspect equipment and building components regularly to identify potential failures or safety concerns. Maintain accurate records of preventive maintenance activities, inspections, repairs, and follow-up needs. Recommend repairs, replacements, upgrades, or capital improvements based on observed conditions. Communicate significant building-system concerns and anticipated expenses to the Community Manager. Support long-term preservation of community assets through timely maintenance and responsible equipment care. Apartment Turns & Make-Ready Operations Oversee the complete apartment make-ready process from vacancy through final inspection. Inspect vacant apartment homes and create detailed lists of required cleaning, repairs, replacements, and improvements. Establish make-ready priorities and schedules based on anticipated move-in dates. Assign make-ready responsibilities to maintenance team members, vendors, and contractors. Obtain required supplies, materials, equipment, and vendor support. Complete maintenance and repair tasks as needed to maintain make-ready schedules. Monitor the progress of each vacant apartment home and address delays promptly. Inspect completed apartment homes to ensure they meet River View Residential quality standards. Confirm that apartment homes are safe, clean, functional, and ready for resident move-in. Communicate make-ready status, delays, and completion dates to the Community Manager and office team. Maintain accurate apartment-turn and make-ready records. Assist with recommending, scheduling, and coordinating third-party vendors and contractors. Clearly communicate the scope of work, scheduling requirements, access procedures, and community standards. Monitor vendor and contractor progress while work is being performed. Inspect completed vendor work for quality and completeness. Report incomplete, deficient, unauthorized, or unsatisfactory work promptly. Maintain appropriate documentation for vendor services, repairs, inspections, and expenses. Coordinate with the Community Manager before authorizing work or expenses outside the position’s established authority. Help ensure vendors follow applicable safety requirements and community procedures while on-site. Ensure maintenance team members have the supplies, tools, equipment, and materials necessary to complete assigned work. Maintain accurate inventory records for maintenance supplies, replacement parts, tools, keys, and equipment. Monitor inventory levels and initiate supply requests before essential materials are depleted. Maintain tools, equipment, maintenance shops, storage areas, and workspaces in a clean and organized condition. Ensure tools and equipment are used correctly and safely. Report damaged, missing, or malfunctioning tools and equipment promptly. Promote responsible use of materials and supplies. Ensure chemicals, refrigerants, flammable materials, and other controlled products are properly stored and secured. Grounds & Community Appearance Oversee and assist with maintaining the appearance and cleanliness of community grounds, common areas, amenities, building exteriors, and maintenance areas. Perform or assign general groundskeeping and janitorial responsibilities as needed. Remove trash, debris, and other materials from community areas. Assist with pressure washing, painting, cleaning, seasonal maintenance, and other appearance-related duties. Inspect the community regularly for maintenance, safety, cleanliness, and curb-appeal concerns. Ensure amenities and shared spaces remain safe, clean, functional, and presentable. Promptly report or address vandalism, damage, lighting concerns, trip hazards, and other visible deficiencies. Coordinate groundskeeping or landscaping needs with team members or approved vendors. Safety, Environmental & Regulatory Compliance Follow and enforce all Company safety, security, and maintenance procedures. Maintain knowledge of applicable OSHA, EPA, Fair Housing, and building-code requirements. Conduct regular safety meetings with maintenance and community team members. Maintain and communicate Hazard Communication requirements. Ensure Safety Data Sheets are current, organized, and readily accessible. Maintain knowledge of the proper storage, handling, and disposal of hazardous materials, including solvents, flammables, caustics, chemicals, and refrigerants. Ensure required personal protective equipment is available and properly used. Report accidents, injuries, damaged equipment, hazardous conditions, and unsafe work practices immediately. Take appropriate action to correct or secure unsafe conditions. Ensure maintenance team members are trained before operating specialized tools, machinery, equipment, or vehicles. Maintain required records related to inspections, safety meetings, incidents, chemicals, and regulatory compliance. Emergency & On-Call Response Participate in and oversee the community’s maintenance on-call rotation. Ensure emergency maintenance coverage is maintained after hours, on weekends, and on holidays. Respond promptly to emergency maintenance calls in accordance with Company response standards. Evaluate emergency conditions and take appropriate action to protect residents, team members, buildings, and equipment. Coordinate additional team members, vendors, emergency services, or management support when needed. Communicate significant emergencies and building concerns to the Community Manager promptly. Document emergency calls, actions taken, materials used, vendors contacted, and required follow-up. Ensure unresolved emergency issues are monitored until they are fully corrected. Documentation & Reporting Maintain accurate records of work orders, preventive maintenance, apartment turns, inspections, expenses, inventory, vendor work, and other maintenance activities. Ensure documentation is completed accurately, thoroughly, and within established timelines. Review maintenance reports and work-in-progress records regularly. Maintain current information regarding apartment make-ready status and scheduled completion dates. Provide updates to the Community Manager regarding maintenance performance, significant repairs, safety concerns, and anticipated expenses. Ensure maintenance records are organized and available for audits, inspections, and operational reviews. Protect confidential resident and Company information. Budget & Expense Control Support maintenance budget and expense-control initiatives. Use supplies, materials, tools, equipment, and vendor services responsibly. Repair components rather than replace them when doing so is safe, practical, and cost-effective. Avoid unnecessary waste of materials and supplies. Monitor recurring repair issues and recommend long-term solutions. Communicate significant or unexpected expenses to the Community Manager. Obtain appropriate approval before making purchases or authorizing work outside established limits. Review completed work and invoices to help confirm that services and materials were provided as authorized. Resident Service & Professional Conduct Provide courteous, respectful, and professional service during resident interactions. Ensure maintenance team members enter occupied apartment homes professionally and follow applicable access procedures. Protect resident privacy and personal belongings. Communicate clearly regarding repair status, delays, additional access needs, and anticipated completion. Respond appropriately to resident concerns or escalate them to the Community Manager. Maintain a clean and professional appearance while representing River View Residential. Promote resident satisfaction through timely service, quality workmanship, and respectful communication. Performance Expectations The Maintenance Supervisor is expected to: Complete and oversee work orders within established Company response-time standards. Maintain an organized and efficient work-order process. Complete apartment turns within established make-ready schedules. Maintain high-quality workmanship with minimal callbacks. Ensure building systems, equipment, amenities, and apartment homes remain safe and functional. Maintain effective preventive maintenance programs. Provide reliable emergency and after-hours maintenance coverage. Maintain accurate and timely maintenance documentation. Ensure maintenance team members follow safety requirements and Company procedures. Maintain appropriate staffing, scheduling, training, and accountability within the maintenance department. Keep maintenance shops, tools, supplies, and equipment organized and secure. Support budget goals and responsible expense management. Maintain strong community appearance and curb appeal. Communicate maintenance concerns, operational risks, and significant expenses promptly. Provide professional service to residents and support positive resident satisfaction. Supervisory Responsibilities Directly supervise maintenance department team members. Plan, assign, direct, and inspect the work of maintenance personnel. Assist with interviewing, onboarding, training, performance evaluation, recognition, corrective action, and discipline. Address team member concerns and support the resolution of workplace or operational problems. Carry out supervisory responsibilities in accordance with Company policies and applicable laws. Qualifications High school diploma or GED required. Three to five years of apartment maintenance, building maintenance, facilities maintenance, or related experience required. Equivalent combinations of education, technical training, and experience may be considered. Previous maintenance leadership or supervisory experience preferred. Strong working knowledge of plumbing, electrical, HVAC, appliance repair, carpentry, painting, drywall, locks, and general building maintenance. Ability to diagnose maintenance issues and determine appropriate repair solutions. Ability to plan, prioritize, assign, and inspect work. Ability to communicate effectively, both verbally and in writing. Ability to prepare accurate maintenance records, reports, and documentation. Ability to supervise, coach, train, and hold team members accountable. Ability to respond to and resolve maintenance issues promptly. Ability to participate in on-call coverage after hours, on weekends, and on holidays. Valid driver’s license and automobile insurance coverage required. Legal authorization to work in the United States required. Preferred Education & Certifications Associate degree from an accredited college, university, or technical school. EPA Universal Certification. HVAC certification. OSHA 10 or OSHA 30 certification. CPO certification, where applicable. Electrical certification. Plumbing certification. Carpentry certification. CALP or other relevant multifamily credential. Fair Housing training or certification. Ability to work around fumes, airborne particles, chemicals, refrigerants, and other materials commonly encountered in maintenance operations. Ability to work in extreme heat or cold when required. Ability to perform work in environments with moderate or elevated noise levels. Ability to perform duties requiring close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to safely operate a golf cart or similar community vehicle when authorized.
