Investment Banking Associate – Deal Operations & CRM Management

At Pavago, one of our clients is hiring a highly organized and execution-focused Investment Banking Associate to support deal operations, CRM management, investor follow-ups, reporting, and pipeline coordination.

This is not a traditional investment banking role. There is no heavy financial modeling, aggressive client-facing sales pressure, or deal origination requirement.

Instead, you'll serve as the operational backbone of the deal pipeline, working closely with leadership to ensure every opportunity, investor interaction, follow-up, task, and next step is accurately tracked and executed on time.

The role is ideal for someone with strong experience in HubSpot CRM, deal pipeline management, operations, executive support, or finance-related coordination who thrives on organization and consistent follow-through.

Deal Pipeline & HubSpot CRM Management

Own the day-to-day organization and maintenance of the deal pipeline inside HubSpot CRM.

You will:

• Track inbound deal and investor interest.
• Maintain accurate deal stages, notes, tasks, and next steps.
• Record investor responses and communication history.
• Create and manage follow-up tasks and reminders.
• Proactively follow up on slow-moving opportunities.
• Monitor pipeline movement and identify stalled deals.
• Maintain clean, accurate, and up-to-date CRM records.
• Flag urgent opportunities and priorities for leadership.
• Manage follow-up activity across long deal cycles of 6–12+ months.
• Ensure no opportunity disappears because of a missed follow-up or incomplete CRM record.

Deal Operations & Execution Support

• Support leadership with day-to-day deal execution and coordination.
• Track open tasks, deliverables, deadlines, and follow-up requirements.
• Maintain Excel and Google Sheets deal trackers.
• Organize deal information into clear, structured summaries.
• Prepare pipeline and operational updates for leadership.
• Help maintain visibility across active and prospective opportunities.
• Support preparation and organization of:
• Pitch materials
• Investor updates
• Deal summaries
• Internal reports
• Pipeline reports
• Ensure deal-related information remains organized and easily accessible.

Investor Follow-Up & Communication

• Draft professional investor and deal follow-up emails.
• Manage consistent communication cadences across active opportunities.
• Track investor responses and required next steps.
• Follow up professionally when conversations become inactive.
• Coordinate communication between leadership and external stakeholders.
• Ensure important conversations receive timely responses.
• Maintain accurate communication histories within HubSpot.

Reporting & Data Organization

Build and maintain:

• Deal pipeline reports
• Excel tracking sheets
• Operational dashboards
• Follow-up reports
• Leadership updates
• Investor activity summaries

You'll turn raw CRM and pipeline information into clear, organized updates that help leadership quickly understand:

• Where each deal stands
• What has changed
• What requires follow-up
• Which opportunities are stalled
• What needs immediate attention

Scheduling & Meeting Coordination

• Coordinate investor meetings, leadership calls, and deal discussions.
• Manage scheduling across multiple stakeholders.
• Ensure meeting invitations and details are accurate.
• Prepare relevant context and information before meetings.
• Track post-meeting action items.
• Ensure agreed-upon next steps are entered into the CRM and completed.

Administrative & Operational Coordination

• Track deadlines, deliverables, and recurring follow-up cadences.
• Maintain organized operational workflows.
• Support leadership with reporting and execution coordination.
• Improve documentation and reporting consistency.
• Identify missing information, overdue tasks, or workflow gaps before they become problems.
• Create structure around complex, long-running deal processes.

Required Experience & Skills

Core Requirements

• Professional experience in one or more of the following:
• Deal operations
• CRM management
• Sales operations
• Executive support
• Finance operations
• Investment banking support
• Investor relations support
• Strong hands-on experience with HubSpot CRM.
• Experience managing:
• Deal stages
• Pipelines
• Tasks
• Follow-up workflows
• CRM notes and records
• Experience coordinating multiple opportunities or projects simultaneously.
• Strong written English communication skills.
• Ability to independently draft professional follow-up emails and operational updates.
• Strong attention to detail and documentation accuracy.
• Ability to work independently in a remote environment.
• Availability during EST business hours.

Excel & Google Sheets

Intermediate proficiency with Excel or Google Sheets, including:

• Data organization
• Formatting
• Tracking templates
• Reporting
• Basic dashboards
• Pipeline summaries

You should be comfortable taking unstructured information and turning it into clean, leadership-ready reporting.

Nice-to-Have Experience

Direct investment banking experience is valuable but not required if you have strong CRM, operational, and pipeline management experience.
