Job Description:\n\nHEAD MEDICAL ASSISTANT / LEAD MEDICAL ASSISTANT Cottonwood Endocrinology and Diabetes CareSandy, Utah | Full-Time | On-SiteCompensation: $22–$27 per hour, depending on experience and qualifications POSITION OVERVIEW Cottonwood Endocrinology and Diabetes Care is seeking an experienced Head Medical Assistant / Lead Medical Assistant to serve as a hands-on clinical leader for our Medical Assistant team. This is a working leadership position, not a primarily administrative supervisory role. The Head MA will generally spend approximately:50% of their time providing direct Medical Assistant support to providers and patients50% of their time on MA leadership, training, workflow improvement, staff development, and clinical operations The Head MA will typically work approximately five half-days per week, or the equivalent of about 2.5 full clinic days per week, in direct patient care and provider support. The exact balance may vary according to clinic schedules, staffing needs, and practice priorities. We are seeking someone with substantial experience in outpatient subspecialty medicine or a similarly complex outpatient clinical setting. Demonstrated experience training, mentoring, leading, or supervising other Medical Assistants is strongly preferred. ABOUT THE PRACTICE Cottonwood Endocrinology and Diabetes Care is an independent specialty medical practice in Sandy, Utah focused on the diagnosis and treatment of:DiabetesThyroid diseaseObesityMetabolic disordersOther endocrine conditions Our practice combines personalized outpatient specialty care with an active clinical research program and is continuing to modernize its clinical and administrative workflows. We have both on-site Medical Assistants and a remote Virtual Medical Assistant team based outside the US. The Head MA will work closely with physicians and other providers, the Medical Office Manager, on-site Medical Assistants, Virtual Medical Assistants, and practice leadership. DIRECT PATIENT & PROVIDER SUPPORT (~50% OF POSITION) The Head Medical Assistant will maintain a regular hands-on clinical role and should be highly proficient in the daily responsibilities of an experienced outpatient Medical Assistant. Responsibilities include:Room and prepare patients for office visitsObtain and document vital signsReview and update medications, allergies, histories, and relevant clinical informationPrepare charts and clinical information for providersSupport physicians and other providers during clinic sessionsHelp maintain efficient patient flowManage provider-specific clinical task queues and follow-up responsibilitiesRespond to patient telephone calls, portal messages, and routine clinical questions within established protocols and MA scopeCommunicate provider instructions to patientsCoordinate laboratory testing, prescriptions, referrals, records, and follow-upAssist with medication refill workflowsComplete forms and other clinical-support documentationHelp resolve routine clinical and patient-care issuesProvide other direct clinical support as needed Because this is a working leadership position, the Head MA is expected to lead by example and model the efficiency, professionalism, accuracy, responsiveness, and patient service expected from the entire MA team. MA TEAM LEADERSHIP & TRAINING (~50% OF POSITION) The Head MA will provide day-to-day clinical leadership for the on-site Medical Assistant team. Responsibilities include:Train and onboard new Medical AssistantsProvide hands-on training in practice-specific clinical workflowsAssess MA competency and identify additional training needsCoach and mentor Medical AssistantsProvide day-to-day guidance regarding clinical workflows and provider expectationsHelp organize MA assignments and clinical-support responsibilitiesReinforce standards for accuracy, efficiency, professionalism, and patient serviceDevelop or improve MA training materials, checklists, and proceduresHelp address workflow or performance concernsParticipate in interviewing and selecting new Medical Assistants when appropriateHelp ensure appropriate clinical coverage during absences or staffing changes The successful candidate should be comfortable teaching, coaching, and holding team members accountable, rather than simply completing their tasks personally. CLINICAL WORKFLOW LEADERSHIP The Head MA will have primary responsibility for MA-specific clinical workflow implementation and training. Responsibilities include:Work closely with physicians and other providers to understand their clinical-support needsDevelop consistent workflows across providers when appropriateImplement new clinical procedures and processes within the MA teamMonitor whether established workflows are being followed consistentlyIdentify inefficient, duplicative, or unnecessary processesHelp improve pre-visit, rooming, follow-up, refill, messaging, and clinical-task workflowsAddress operational issues that interfere with provider efficiency or patient careHelp ensure new clinical processes are successfully incorporated into daily practice The Head MA should be someone who naturally asks, “Is there a better way to do this?” and is capable of helping the team implement that better process. COLLABORATION WITH THE MEDICAL OFFICE MANAGER The Head Medical Assistant and Medical Office Manager function as complementary operational leaders. The Head MA primarily leads:MA trainingClinical-support workflowsProvider-specific MA processesClinical staff competency developmentImplementation of new clinical processes The Medical Office Manager primarily leads:Administrative and overall practice operationsPayrollStaff scheduling and PTO administrationRoutine HR processesBilling oversightFacilities and vendorsAdministrative systems and technology The two positions will work collaboratively on:MA staffing and schedulingAttendance and performance concernsHiring and onboardingWorkflow changes affecting both clinical and administrative staffPractice-wide technology implementationCommunication between providers and staffPatient-flow issuesRemote Virtual MA oversightStaff accountability and operational improvement More significant personnel, financial, or strategic matters will be escalated to the Physician/CEO. VIRTUAL MEDICAL ASSISTANT OVERSIGHT The practice employs a team of remote Virtual Medical Assistants based in the Philippines who support a variety of administrative and clinical support functions. The Head MA and Medical Office Manager will jointly help oversee and integrate the Virtual MA team. The Head MA's responsibilities include:Train Virtual MAs in appropriate clinical-support workflowsHelp determine which MA functions can appropriately be performed remotelyIdentify other repetitive or administrative work that can appropriately be shifted to the Virtual MA teamDevelop clear processes for communication between Virtual MAs, on-site MAs, and providersHelp assign and monitor completion of clinical-support tasks delegated to the Virtual MA teamEnsure Virtual MAs understand practice procedures and provider preferencesEnsure Virtual MAs have a line of communication with on-site MA team at all times to answer their questions and help them problem-solve issues that may ariseHelp ensure that remote and on-site MAs function as one coordinated team TECHNOLOGY & PROCESS IMPROVEMENT Cottonwood Endocrinology and Diabetes Care uses Elation EHR and is implementing additional technologies intended to improve patient communication, clinical workflow, and practice efficiency. Current and anticipated systems include platforms for digital patient engagement, pre-visit histories and registration, patient self-scheduling, digital intake, eligibility checking, and other front-end workflows, as well as electronic fax and AI-driven back-end document and message management platforms. The Head MA will work with the Medical Office Manager and providers to:Participate in implementation of new technology affecting clinical workflowsDetermine how new systems should be incorporated into MA responsibilitiesHelp train MAs on new systems and processesMonitor staff adoptionIdentify problems with new workflowsWork with vendors or IT resources when neededHelp reduce unnecessary manual or repetitive workEnsure new technology improves rather than complicates the clinical workflow Advanced IT expertise is NOT required, but the Head MA should be comfortable learning new systems and helping others adopt them. QUALIFICATIONS RequiredSignificant prior experience working as a Medical Assistant in an outpatient medical practiceExperience in outpatient subspecialty medicine or a similarly complex outpatient clinical environmentStrong hands-on Medical Assistant skillsStrong provider-support and patient-care skillsExcellent organizational and communication abilitiesDemonstrated reliability and attention to detailAbility to manage multiple priorities in a busy specialty practiceAbility to communicate effectively with physicians, providers, patients, and staffStrong general computer and EHR skillsAbility to learn new clinical and technology workflowsAbility to provide constructive feedback and guidance to other staffGood judgment regarding when an issue can be handled independently and when it should be escalated Strongly Preferred3–5+ years of Medical Assistant experiencePrior experience in endocrinology, internal medicine, cardiology, gastroenterology, rheumatology, neurology, nephrology, or another outpatient medical specialtyDemonstrated experience training, mentoring, leading, or supervising other Medical AssistantsPrevious Lead MA, Head MA, Senior MA, or MA Trainer experienceExperience implementing new clinical workflowsExperience working closely with physicians in a private-practice environmentExperience supervising or coordinating remote clinical-support staffExperience with provider inboxes, patient messaging, refill workflows, and longitudinal outpatient careFamiliarity with Elation or another ambulatory EHRMedical Assistant certification or credentialing Experience in a longitudinal outpatient medical practice is preferred over experience limited primarily to hospital inpatient care or a narrowly procedural surgical environment.
