Job Description

The ideal candidate will have strong experience in receiving, distribution, inventory control, transportation, records management, and warehousing, and a proven ability to resolve invoice and receipt discrepancies, expedite orders, and sustain compliance with safety and regulatory standards.

Responsibilities:

• Execute accurate receiving, storage, and distribution of products, including controlled substances and hazardous materials.
• Manage material movement across the Mayo Clinic with attention to safety, security, productivity, and data integrity.
• Collaborate with physicians, allied health professionals, administrators, SCM staff, and vendors to resolve inquiries and issues.
• Research and resolve Invoices Not Received and Received Not Invoiced transactions using multiple information sources.
• Handle high volumes of requests via phone, mail, and fax and serve as a point of contact for other SCM areas.
• Identify shipping modes, manage returns, and research aged proof-of-delivery items and specialty transactions.
• Utilize reports to manage special handling instructions, expediting, critical orders, and routine fulfillment.
• Track trends causing processing delays and collaborate to implement sustainable solutions.
• Support logistics projects and other duties as assigned by SCM leadership.

Required Skills & Qualifications:

• Strong personal computer proficiency and ability to use reports and systems for transaction research.
• Effective communication, problem solving, continuous improvement, and teamwork skills.
• Ability to prioritize multiple tasks, meet deadlines, and adapt to changing work demands.
• Basic understanding of accounting principles related to invoice and receipt reconciliation.
• High School diploma/GED and two years of supply chain or business-related experience; or Associate’s degree plus one year of experience.
