What You'll Do as an Operations Support Specialist:Administrative Support

• Provide professional administrative support to drivers, management, and operational teams.
• Maintain accurate driver, vehicle, and company records in accordance with company policies and regulatory requirements.
• Perform a variety of office duties, including data entry, filing, document management, scheduling, and phone support.
• Prepare and organize documents, reports, and operational records.
• Assist with special projects and administrative initiatives as assigned.
• Support the efficient execution of daily office operations.

Billing & Account Support

• Process driver vouchers and assist with account-related transactions.
• Support drivers with billing inquiries, lease account questions, and payment research.
• Reconcile trip activity and verify the accuracy of operational and financial records.
• Prepare reports and documentation for management review.
• Work closely with accounting and operations teams to resolve discrepancies and improve workflow processes.
• Ensure billing information is accurate, complete, and processed in a timely manner.

Driver & Customer Support

• Serve as a resource for driver questions, concerns, and administrative support needs.
• Deliver responsive, professional, and high-quality customer service to drivers and internal stakeholders.
• Assist in resolving account, billing, and operational issues.
• Build positive working relationships through proactive communication and solution-focused support.
• Help ensure drivers have the information and resources they need to succeed.

Reporting & Data Management

• Maintain databases, spreadsheets, and tracking systems with a high degree of accuracy.
• Generate reports related to operational activity, billing, and driver support functions.
• Monitor and update records to ensure data integrity and compliance.
• Support leadership with reporting requests and administrative analytics.
• Identify opportunities to improve processes and increase operational efficiency.

Qualifications of an Operations Support Specialist:

• Previous experience in administrative support, operations, billing, accounting, customer service, or office administration preferred.
• Strong computer skills with excellent data entry accuracy and attention to detail.
• Effective verbal and written communication skills.
• Strong organizational and time-management abilities.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent problem-solving and critical-thinking skills.
• Customer-focused mindset with a commitment to delivering exceptional service.
• Dependable, professional, and team-oriented work ethic.
• Proficiency in Microsoft Office Suite and related business software is preferred.
