Summary 

Responsibilities include the administrative support of the office, warehouse, and field staff.

Essential Duties and Responsibilities 

Answers incoming telephone calls and welcomes on-site visitors.

Processes incoming and outgoing mail.

Files all office documents.

Orders and maintains inventory of office supplies.

Enters job opportunities with detailed quote information into Salesforce.

Closes quotes and creates job folder

Creates work orders

Arranges technician travel: reserves hotels, flights, cars, and per diems.

Submits technician documentation needed for customer sites 

Submits certified timesheets to Payroll

Back-up to the Operations Coordinator and Project Management Administrative Coordinator, as needed. 

Must participate and successfully complete all training as required by the company.

Performs other duties as assigned.

Requirements

High School diploma with 2 years related administrative experience or equivalent combination of education and experience. Strong communication; both verbal and written. Excellent phone skills, with the ability to engage busy customers in brief, effective communication. Strong customer service skills. Detail-oriented, organized, and able to work well with a small team. Proficient in Microsoft Office applications (Word, Excel, Outlook), plus the ability to learn company used applications. Experience with Salesforce CRM or similar software a plus.
