Finance and Administration Director (Sr Director DOQ) South Puget Sound Habitat for Humanity Olympia, Washington, United States About this position South Puget Sound Habitat for Humanity is an affiliate of Habitat for Humanity International focused on providing affordable housing solutions in Thurston and Lewis counties. We believe that every person, no matter who they are, deserves a decent place to live. Our work includes building new, energy-efficient homes, preparing households for homeownership, guaranteeing affordable mortgages to homebuyers, performing critical housing repairs, and running two successful resale stores. It is an exciting time at South Puget Sound Habitat as our immediate goals for the future include three new developments and hundreds of repair projects, drastically outpacing our past production - and we are working to scale our operations to meet these goals. POSITION SUMMARY The finance and administration director is responsible for the financial health, human resources, and organizational integrity of South Puget Sound Habitat. Working closely with the CEO and leadership team, the director provides financial strategy and direction, oversees budgeting and forecasting, and ensures strong financial controls, reporting, and compliance. The director leads the organization’s human resources function, supports a strong and well-run workplace, and oversees key areas of organizational policy, risk, and third-party requirements. They also supervise staff responsible for accounting and regulatory obligations and help ensure the organization has the systems, information, and resources needed to make sound decisions. South Puget Sound Habitat’s complex business structure includes construction expenses, grant compliance and billing, a mortgage portfolio, home sales, retail store operations, and general nonprofit operations. This role plays a central part in building the financial and organizational capacity needed to manage that complexity and support sustainable growth. There is opportunity to make this role into a senior director role, depending on qualifications. You build systems that keep the trains running, make the complicated stuff less complicated, and give everyone a clearer path forward. You’re a thoughtful leader who develops people and processes, spots risks before they become problems, and brings both strategic thinking and practical follow-through to the work. You believe that getting the behind-the-scenes stuff right gives everyone else more room to advance the mission. RESPONSIBILITIES Key Responsibility: Financial Oversight and Budget Management (45%) The director is responsible for the overall financial health and strategic financial management of the organization. Responsibilities generally include: Working with the CEO, set an ongoing short- and long-term financial strategy for the organization by evaluating past performance by area, exploring alternate or additional approaches, and building financial models. Create procedures for financial internal controls; ensure broad organizational adherence. Develop accurate, clear budgets, with input from appropriate stakeholders, for a broad range of organizational purposes (annual budget, proformas, grants, loans, reporting, etc.). Create cashflow forecasting tools; manage rolling forecasting with assistance from relevant team members; recommend and enact course changes as needed. Oversee and coordinate accurate, complete annual audits in sufficient time to meet reporting deadlines. Manage investment accounts, lines of credit, and loan applications; track and coordinate associated obligations/compliance/reporting. Ensure financial statements and reports meet industry standards, accurately represent financial position, convey information clearly, and are delivered in a timely manner. Oversee accounting specialist (accounting, payroll, reporting, grant billing, registrations); ensure day-to-day accounting is standardized, accurate, and timely; act as back-up accountant as needed. Key Responsibility: Human Resources Administration (30%) The director is responsible for building and maintaining the people-related policies, procedures, and systems that will help our organization nurture and retain excellent team members and live into our diversity, equity, inclusion, and belonging values. Responsibilities generally include: Maintain compliance with federal, state, and local employment law; ensure that the employee handbook, job descriptions, HR policies, and employee files are current, complete, and compliant. In coordination with the CEO, build and consistently apply standardized processes for recruiting, hiring, onboarding, performance evaluation, professional development, and separation. Manage employee relations matters to resolution, working with supervisors and legal counsel as appropriate. Lead the annual benefits renewal process; evaluate benefit options against market benchmarks and employee needs and make recommendations; ensure accurate and timely enrollment and change processing. In coordination with the CEO, maintain and adjust agency compensation philosophy and pay bands as necessary; document and execute compensation decisions. Key Responsibility: The director is responsible for key areas of organizational integrity and third-party compliance. Responsibilities generally include: Develop and seek approval for key organizational policies (either internally identified or third-party required); operationalize policies by creating and maintaining standardized procedures and systems; train team as needed. Oversee compliance specialist (grant contracts/compliance/billing, insurance, reporting, home closings, safety); ensure their responsibilities are carried out to a high degree of accuracy and integrity. Track and assess organizational risk (financial and more broadly); surface risk concerns and recommend mitigation options; carry out solutions as needed. Key Responsibility: Leadership, Teamwork, and Inclusivity (10%) All team members are responsible for contributing to overall organizational health through positive collaboration, leadership, personal integrity, and a commitment to equity and inclusion. Responsibilities generally include: Maintain a "team first" outlook, supporting the success of the team and the mission in attitude, ideas, and actions; lead by example and with active, creative input for growing and improving the organization. Meet and endorse organization standards for record keeping and information sharing. Contribute to organization events, helping as necessary with set up/take down, management, networking, various tasks, etc. Participate in intentional learning efforts, including events relating to understanding institutional racism and building cultural competency. Participate as an active member of the leadership team in organizational strategy discussions, operational planning, and culture-building. Supervise direct reports and team to success; provide clear direction, regular feedback, professional development support, and performance evaluation. REQUIREMENTS Education and Experience A bachelor's degree in accounting, finance, public administration, business administration, or a closely related field required; Master of Business Administration or similar preferred. A minimum of six years of progressively responsible experience in finance or similar; nonprofit or construction finance experience preferred. A minimum of three years of progressively responsible experience in human resources or similar (may be part of above experience). At least two years in a supervisory or leadership capacity (may be part of above experience). Required Knowledge, Skills, and Abilities Strong knowledge of financial management, including budget development, cash flow management, financial reporting, and internal controls. Working knowledge of Generally Accepted Accounting Principles (GAAP), including fund accounting concepts and restricted/unrestricted net asset classification. Proven ability to manage independent financial audits to resolutions. Proven ability to develop and implement financial and human resources policies, procedures, systems, and trainings. Strong understanding of human resources practices and principles, including legal requirements; proven ability to perform broad human resources functions. Strong supervisory and leadership skills, including demonstrated ability to develop staff, manage performance, and build a high-functioning team. Excellent written and verbal communication skills, with ability to translate complex information to common language. Tech-savvy, with proficiency in accounting software (QuickBooks experience preferred), Excel, and specialized systems (e.g. HR, project, etc.). Ability to adopt and optimize new technologies as needed. Ability to handle sensitive and confidential information with discretion. Ability to pass a background and reference check. DETAILS Reports to: Chief Executive Officer Supervises: Direct: 1-2 FTE (accounting and compliance specialists); 0-1 contract consultant. Indirect: 1 PTE (assistant) Hours: 40 hours per week. Typical business hours with some flexibility for preferred schedules. Occasional evening or weekend availability may be required. Compensation: Salaried. Position range: $85,000-$110,000; hire range: $85,000-$97,000. (DOQ Sr Director: Position range: $90,000-$125,000; hire range: $90,000-$109,000) FLSA Status: This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA); it does not earn overtime for additional time worked. Benefits: 26 vacation/sick/personal days initially, increasing over time; 13 holidays; 85% employer-paid health, 50% employer-paid dental, 100% employer-paid vision; Simple IRA with 3% match. Environment: This position will be based in our office located at 910 5th Ave SE in Olympia. It can be reached by car or public transit. The building is accessible. This position will have a desk, computer, and phone line in a designated workspace. Some off-site, local travel is required. Limited regular remote work is acceptable. Conditions: This position will be regularly required to use a computer keyboard and screen, communicate with others, reach with arms and hands to file and use a phone, and sit for extended periods. Training: This successful candidate will be onboarded and initially trained through a combination of in-person, online, and written trainings; they are expected to take the initiative to review materials as needed and seek understanding of new developments in order to perform their responsibilities.
