AI-Fluent Operations Coordinator / Executive AssistantSeamless Assist is seeking a highly organized Executive Operations Coordinator to support executive productivity and day-to-day operations in a fast-paced remote environment. This role focuses on calendar management, communication, operational coordination, and structured workflow support, while leveraging AI tools to improve efficiency.Candidates must be available during PST–EST business hours and have B2+ English proficiency.Key ResponsibilitiesManage executive calendars, scheduling, and meeting coordination across time zonesOrganize and prioritize executive inbox communicationsDraft professional emails, reports, and documentationTrack deadlines, tasks, and follow-ups for leadershipPrepare meeting agendas, notes, and action itemsMaintain organized digital filing and documentation systemsSupport cross-functional communication and operational coordinationConduct research and compile information for executive decision-makingUse AI tools (ChatGPT or similar) to assist with drafting, summarizing, and workflow organizationRequirements1–3 years experience in executive support, administrative, or operations coordination rolesAvailability during PST–EST business hoursB2+ English proficiencyStrong organizational and multitasking skillsProficiency with Google Workspace or Microsoft OfficeAbility to work independently with minimal supervisionHigh level of professionalism and discretion
